Title: Office Supervisor (Shop Environment)
Shift: Flexibility required for shift changes and must be available to work full-time and on weekends
Job Summary:
3G Truck Repair Inc. is seeking a highly motivated, experienced Office Administrator with supervisory experience. This Individual will be responsible for supervising the administrative operations of our shop along with our admin staff. This includes coordinating the Shop team, handling inquiries, managing schedules, maintaining records, and ensuring that all administrative tasks are completed efficiently and on time. This role requires a high level of organizational skills, attention to detail, and the ability to work in a fast-paced environment.
Major Responsibilities:
- Provide administrative support to the Workshop Manager and Team.
- Manage daily workshop operations, including scheduling and dispatching work orders.
- Ensure accurate records of all workshop activities, including work orders, parts inventory, and maintenance schedules are maintained.
- Handle and respond to inbound/outbound calls for both internal and external repairs and/or service.
- Oversee/supervise the inventory of parts and supplies, ensure timely audits of inventory, and ensure adequate stock levels are maintained.
- Prioritize work orders and assist with scheduling service calls and appointments.
- Ensure proper documentation and tracking of all financial transactions related to the Shop.
- Ensure Company Safety policies and procedures including the use of personal protective equipment (PPE guidelines) are followed.
- Coordinate with the Shop Team to ensure smooth workflow and timely completion of tasks.
- Prepare and submit reports to Management as required.
- Other Duties as assigned.
Specific Job Requirements
- Completion of Office Administration Degree/Diploma is preferred.
- Minimum of 2-3 years of experience in an administrative role within a Shop or Automotive environment, with at least 1-2 years in a supervisory or senior role.
- Strong organizational and multitasking skills.
- Excellent communication and interpersonal abilities.
- Proficiency with Microsoft Office – Word, Excel & Outlook
- Knowledge on QuickBooks is an asset
- Detail-oriented with strong problem-solving skills.
- Ability to work under pressure and meet deadlines.
- Strong leadership and team management skills.
