You are the one that goes through and finds the missing period in a sentence. Some might say you are nit-picky but you know better. You know that you attention to detail and organization makes you an asset.
We are looking for someone to join the team as our internal finance admin. This does go outside of the bounds of a book keeper.
In this role you will be working with our finance director, accountants and CEO. You will be ensure that our books are organized. This means reconciling and putting items into the correct xero accounts. It means ensuring that client record in Xero are up to date with no duplicates.
You will track expenses to ensure we are not being overbilled. In particular you will be tracking our monthly software expenses. This is ensuring that any monthly or yearly software's are still being used. If something is not being used then cancel it.
You will work with the CEO to ensure clients are being billed correctly. You will work with the internal team for billing our hourly work and ensure that clients are being billed for the time we are spending on their work.
What your week looks like:
Initially, you will meet with the CEO weekly while you get to know our systems and flow. Overtime, it will be a weekly email to the CEO with numbers and metrics that she needs.
You'll check and ensure that payments have gone through. You'll reconcile any outstanding items.
You'll work on our current objective for the week / month. This could be cleaning up a certain system, putting a new systems in place etc.
Your work will be divided up between operational and improvements. At first, most of your time will be spent getting the operational elements of the role honed in. Once you have comfort in these areas, it will take you less time to complete those tasks. Then you will be given improvements based on any drop-off that is seen with the operational systems.
As our internal finance admin, you will:
- Reconcile weekly/monthly books in XERO
- Manage expenses, in particular software costs
- Coordinate with accountant for year-end and HST/filings
- Look at profitability around hours spent on a client and revenue collected to report back to the CEO
- Create and/or update spreadsheets for costing
- A/R - Ensure clients are paying
- Send out emails to clients to remind them to pay
Main outcomes of the role:
- Ensure the books are up to date for an easy year end
- Ensure all clients are being billed
- Cut costs by looking to see where we are being overcharged
