Our client, Moonfleet Poultry in Harriston, ON, is looking for a Payroll & Benefits Specialist. This position reports to the Controller and is responsible for the timely and accurate delivery of payroll and maintenance of benefit programs for 20 payroll reporting segments. The successful candidate will possess a strong knowledge of payroll compliance, legislation, and general accounting principles and procedures. Duties will include payroll and benefit account maintenance, vacation, sick time accruals, reconciliations, and reports. Moonfleet Poultry seeks a detail-oriented individual who is a proven team player. This full-time position (40 hours per week) is onsite in Harriston, ON, with travel to Fergus, ON.
Duties & Responsibilities:
- Accurately and timely process weekly payroll for employees using ADP payroll software.
- Import weekly payroll entries into the main accounting system and reconcile accounts with the General Ledger; ensure accurate expense and liability accounts are processed.
- Identify potential improvements in payroll and control processes and ensure successful implementation.
- Handle year-end filing and annual production of T4s and T2200s.
- Maintain payroll records for internal and external requirements.
- Conduct payroll yearly audit for external auditors.
- Liaise with the Accounting department to ensure accurate costing of payroll; provide payroll information when required for the filing of corporate tax returns.
- Identify legal requirements and government reporting regulations affecting payroll functions and ensure policies, procedures, and reporting comply.
- Partner with Human Resources to ensure accurate and timely processing of new hires, terminations, and merit increases.
- Address or respond to inquiries from managers, employees, and the finance department regarding payroll and expenses promptly.
Benefits:
- Perform month-end accruals and reconciliation of benefit accounts and payroll sub-ledger to the general ledger.
- Administer benefits and remit premiums; maintain benefit files for group employees.
- Handle Group RRSP remittances, monthly enrollments, liaise with RSP provider, and handle employee queries.
Reporting:
- Ensure timely remittance and reporting of statutory contributions in compliance with regulations and statutory requirements.
- Maintain attendance and vacation reporting.
- Perform monthly variance analysis and reporting of wages and benefits expense items in financial statements updates.
- Maintain headcount reporting.
- Provide ad hoc reporting and trend analysis as required.
- Compile budgetary information during the annual planning cycle.
- Perform other duties as determined.
Education & Experience Required:
- A minimum of 5 years of payroll experience.
- Obtained or actively working towards Certified Payroll Designation through the National Payroll Institute (NPI).
- Proficient in Microsoft Office Suite.
- Hands on working knowledge of ADP considered a bonus.
- Experience in a computerized software environment is mandatory.
