Administrative Assistant | Front Desk Receptionist
We are presently seeking a Receptionist to join our growing team. The ideal candidate is an excellent communicator and listener who can adjust to a variety of changes and challenges in a fast paced, multi-personality environment. You will engage with clients; developing an understanding of their specific needs and recommend the appropriate treatments, options and care plan to help them achieve the best possible results.
The Role:
As a Receptionist, you are attentive, outgoing, positive, friendly and engaging. Education and training in medical skin care and cosmetic treatments including but not limited to: Hydrafacials, chemical peels, laser hair removal, IPL, RF skin tightening and resurfacing treatments with thorough knowledge of pre and post treatment guidelines.
Qualifications include:
- Excellent communication (both written and verbal) with the ability to work in a collaborative, inter-professional setting.
- Ability to delivery exceptional client care and develop a professional rapport with clients, ensuring that they are confident and satisfied with their treatments.
- Ability to set priorities, develop, implement and evaluate strategies and care plans.
- Must have excellent attendance record and flexibility in work schedule.
- Ability to promote & recommend an appropriate treatment plan to deliver exceptional client care and maximize opportunities for sales and referrals.
- Ensure all client files are filled and updated with the correct information about treatment protocol, consent forms are signed and billing sheets are filled out correctly.
- Ensure that all products and supplies are full and properly stored. That stock is organized along with brochures and all clinic requirements.
- Maintain a high standard of clinic cleanliness, ensure all work surfaces and equipment are cleaned as per safety and sanitary guidelines.
- Ensure that stock levels are maintained and recorded to ensure that the appropriate and efficient use of supplies are on hand and compile order lists.
- Have a flair for sales and dedicated to evolving with the industry
- Self-starter with a positive attitude and a solution-oriented approach to problems.
- Demonstrate exceptional professionalism and dedication to doing the right thing for clients.
- Contact existing, new and potential clients regarding appointments, services, products, promotions and post-procedural follow-up
- Prepare clients for visit and treatments by providing pre and post-treatment instructions, photographs, consent forms for treatment, and preparing treatment rooms
- Manage and process client payments and check out procedures
- Follow up phone call to all patients post procedure
- Maintain strict confidentiality
RESPONSIBILITIES INCLUDE:
- Maintaining quality service
-Maintaining and assisting clinic needs including front desk reception duties as needed.
-Accurately documenting charts and updating patient profiles after treatments.
