JOB TITLE: Office Administrator
SUMMARY:
Looking for a self-motivated, detail oriented individual with strong communication skills to take on the role of Office Administrator. This individual will be responsible for office management as well as supporting the team with the daily operations of the business. This position will work with the support of a fractional Controller in regard to the bookkeeping responsibilities and will report directly into the business President/ Owner.
Due to the nature of the role there will be no opportunity for work from home. Working in office during the core hours, 8 hours a day, there will be some flexibility on start and stop times. Some weekend phone calls or emails may be required from time to time (extremely rarely).
Bookkeeping Duties:
- Vendor invoice and expense entry
- Process Accounts Payable as scheduled – flagging any issues
- Process Accounts Receivables as scheduled – flagging any issues
- Facilitate collection calls for all overdue invoices
- Manage recurring invoices
- Prepare and process client billings/Process client payments by credit card
- Post expense entries in Quickbooks Online Accounting software (soon to be Managely)
- Reconciliation of Sales - between sales system and financials
- Reconcile Bank, Credit and vendor accounts
- Complete Biweekly review of aging report
Administrative Duties:
- Establish and maintain vendor and client relationships
- Manage contracts with office vendors, service providers and property management
- Highlight and address upcoming office management issues
- Maintaining office supplies and equipment
- Order and track inventory for jobs as required
- Schedule and manage shipping & receiving of goods and equipment
- Executive assistance for the President of the company
- Research, projects and reports as requested by the President of the company
- Other miscellaneous duties

- Windows or Mac OS environment, Microsoft Office (Word, Excel and Outlook) and Gmail
including Google Docs – essential
- Bookkeeping skills - essential
- General knowledge of accounting - preferred
- A working knowledge of QuickBooks Online - preferred• English language essential and French language preferred
- Minimum 5-years Canadian work experience required
- A background and criminal record check is required, successful applicants will be
compensated for the cost of the background check.
Job Types: Full-time, Permanent
Pay: $55,000.00-$60,000.00 per year
