Hazelwood Finance, a division of The Hazelwood Group, is seeking a full-time Payroll Supervisor to join our team in Nanaimo, BC.
Please note that travel will be required within the local Nanaimo area, so a vehicle is required.

Compensation
- $80,000 to $90,000 per year, depending on experience and qualifications.
Summary
The Payroll Supervisor is responsible for overseeing payroll processing for multiple bi-weekly payrolls, ensuring compliance with laws and regulations, supervising the payroll team, and maintaining accurate payroll records. Payrolls include union and non-union, Canadian and US. Associated responsibilities include completing timely remittances and reconciliations, accurately generating year-end reports and T4s, investigating and rectifying payroll issues, and coaching, mentoring, and developing the payroll team.
Job Duties
- Oversee and/or perform timely and accurate bi-weekly payroll processing for the companies in our Group.
- Monitor assigned payroll tasks for the purpose of ensuring effective department functioning, coordinating activities, and ensuring compliance with payroll related legislation such as the Employment Standards Act.
- Supervise departmental staff including hiring, training, work allocation, and problem resolution. Evaluate performance and make recommendations for personnel actions. Motivate employees to achieve peak productivity and performance and encourage participation in professional development activities.
- Verify a variety of payroll related information such as time sheets, reimbursements, new hires, terminations, commission payments, taxable benefits, etc., for the purpose of ensuring accurate payroll processing.
- Ensure bi-weekly journal entries and other payroll-associated reports are completed and forwarded to the accounting department.
- Develop and maintain good relationships with the Accounting and Finance team.
- Prepare and/or review remittances for WCB premiums, RRSP contributions, source deductions, EHT, union pension and working dues, and group benefits.
- Research discrepancies in payroll information and/or documentation (e.g. time sheets, leave time, etc.) for the purpose of ensuring accuracy and adherence to procedures prior to processing.
- Maintain a wide variety of payroll information, files, and records in written and electronic formats for the purpose of providing an up-to-date reference and audit trail for compliance.
- Communicate with a variety of internal and external parties (CRA, for example) for the purpose of ensuring accurate processing of payroll deductions.
- Respond professionally to written and verbal inquiries for the purpose of providing information and/or direction.
- Maintain the payroll checklists and update as needed.
- Continuously review and improve payroll department processes and procedures.
- Work on special projects such as the development of new payroll policies, implementation of new procedures, and/or research into new payroll legislation and how it affects the organization.
Requirements
- Payroll Compliance Professional (PCP) certification from the National Payroll Institute.
- At least 3 years’ experience in a similar role.
- Experience with US payroll processing and record-keeping is an asset.
- Intermediate to advanced knowledge of payroll systems such as ADP, QuickBooks Online, and Payworks.
- Intermediate to advanced knowledge of accounting payroll systems would be an asset.
- Intermediate knowledge of Excel, Outlook, and MS Word.
- Strong leadership and team building skills to foster a cooperative and respectful working environment.
- Quality business communication skills, both verbal and written.
- Quality business interpersonal and customer service skills.
- Quality organizational, time management and prioritization skills.
- Awareness of related Standards, Rules, and Regulations.
