The Position:
The Office Manager will support the President in managing the company in all respects other than the design and manufacturing functions. The ideal candidate will have extensive experience in all of the areas set out below and will enjoy being at the centre of a busy and growing business. They will also have excellent communication skills to collaborate effectively with internal teams and clients.
Principal Responsibilities:
- Oversee the day-to-day administration of the Victoria Harbour facility, excluding production functions managed by the Production Manager.
- Oversee the day-to-day administration of the Midland R&D facility, excluding design functions managed by the Design Manager.
- Oversee facility maintenance (groundskeeping, maintenance, security, cleaning).
- Manage utilities.
- Liaise with governmental agencies.
- Manage all bookkeeping activities, including supervision of the administrative assistant responsible for data entry.
- Process payroll semimonthly.
- Handle payables and receivables.
- Issue invoices for both manufacturing and design services.
- Reconcile bank and credit card accounts.
- Prepare and manage financial reports, both monthly and annually.
- Advise the President on banking and finance relationships.
- Manage cash flow planning and reporting.
- Handle transfers between accounts and foreign exchange.
- Issue payments via various means (cheques, wire transfers, EFT).
- Process GST returns and remittances.
- Handle payroll withholding remittances.
- Ensure timely payment of all taxes (federal, provincial, municipal).
- Process credit applications (both incoming and outgoing).
- Enforce employee policies, procedures, and discipline.
- Hire junior manufacturing direct labour staff.
- Maintain accurate customer, vendor, and employee contact information
- Process customer orders, acknowledgements, and conversions to work orders.
- Manage shipping, receiving, customs, and expediting.
- Assist the Production Manager with scheduling.
- Effect continuous quality and productivity improvements.
- Liaise with the outside accountant for financial matters.
- Ensure effective communication and coordination with various departments and external stakeholders.
Scope of Responsibility:
Experience/Qualifications
· A diploma or degree in Business, or a related field is preferred.
· 5-10 years of experience in an accounting or business management role within the manufacturing industry.
· Experience with bookkeeping software is a plus.
· Excellent English language skills
· Strong analytical and computer skills
