The Children First Society operates the Children First Childcare Centre that serves the community of Inuvik, NWT. The Centre provides high-quality early childhood education through developmentally and culturally appropriate, play-based, inclusive programming. The Centre operates in a modern, multi-purpose facility that includes a dedicated staff room, full commercial kitchen, six classrooms, offices, and an outdoor play area that serves up to 127 children.
Position Overview:
As a dynamic office team member, you have office administration experience in progressively responsible roles including bookkeeping, payroll and general administration and a knowledge of accounting software. Your organizational, time management and prioritization skills enable you to work well under pressure and meet set deadlines. You have a fun-loving nature and strong interaction skills with both children and adults.
Key Responsibilities:
- Billing and Payments: Generate invoices, process payments and maintain billing records using our childcare management software.
- Administrative Support: Perform a wide range of administrative tasks including answering phone calls, responding to emails and managing correspondence.
- Enrollment Assistance: Assist parents with the enrollment process, including providing information about available programs, scheduling tours and completing necessary paperwork. Maintain accurate enrollment records and ensure compliance with regulatory requirements.
- Staff Coordination: Coordinate staff schedules, manage time-off requests and maintain employee records.
- Communication Liaison: Serve as a primary point of contact for parents, staff members and external stakeholders. Communicate information effectively through various channels including newsletters, bulletin boards and social media platforms.
- Records Management: Maintain accurate and up-to-date records related to children, parents and staff members. Ensure compliance with confidentiality policies and regulatory requirements regarding record-keeping.
- Facility Management: Oversee the maintenance of the childcare facility, including coordinating repairs, scheduling cleaning services and ensuring a safe and hygienic environment for children and staff.
Qualifications:
- High school diploma or equivalent strongly preferred.
- Additional certification or training in office administration is desirable.
- Knowledge of accounting/booking software.
- 4 years of office administration experience.
- Equivalencies will be considered.

The successful candidate will be required to submit a satisfactory criminal record and vulnerable sector check; must be willing to must meet the requirements of the immunization program in accordance with NWT Immunization Schedule; and complete tuberculosis screening.
