In this Executive/Personal Assistant you’ll be working with an entrepreneur who has built his businesses around impacting and helping others! If you love wearing multiple hats, and get satisfaction from ensuring things run smoothly - this role might be tailor made for you!
What You'll Be Doing:
Calendar Management:
- As the primary point of contact and gatekeeper, effectively manage entrepreneurs' schedules across several businesses and personal commitments, by coordinating appointments, meetings, and events.
- Stay on top of scheduling, rescheduling, and prioritizing commitments to ensure optimal time management and productivity.
- work with the larger team to manage and book meetings, ensuring all necessary arrangements are made and agendas are prepared in advance.
- Handle all travel arrangements including booking flights, hotels, conference registrations, transportation, reservations and being responsible for and available while Dr. Nik is traveling
- Organize and prepare documents, presentations, notes and everything else needed for successful meetings and conversations. Being able to anticipate needs is key!
Business/Personal Support:
- Organize and optimize both personal and professional spaces, ensuring efficiency and functionality.
- Manage financials, tracking expenses, income, and providing regular reports.
- Prepare documents to be sent to the accountant at the end of the year/fiscal year, ensuring all necessary paperwork is in order.
- Run personal errands when required
- Coordinate and oversee personal projects and tasks as assigned, ensuring timely completion and adherence to quality standards.
- Calling to dispute charges when required, being a point of contact and negotiator for vendors and plans - taking these items off his plate to free up Dr. Nik!
- Take care of orders and pick up supplies as needed
- Running business and personal errands as required
Confidentiality and Discretion:
- Maintain the highest level of confidentiality and discretion when handling sensitive information and matters related to the entrepreneurs personal and professional life.
- Uphold privacy standards and protect confidential data with integrity and professionalism.
- Join and/or follow up on notes from calls and meetings ensuring the appropriate people are informed and updated
What you’ll Bring with You:
- Previous experience as an Executive and/or Personal Assistant, preferably supporting high-level executives or business owners
- Solid understanding of office software and tools, including Microsoft Office Suite along with a tech-savviness that allows you to pick up programs and databases quickly as well as recommend solutions focused on efficiency
- Strong communication skills, verbal and written, with the ability to interact confidently and courteously across all levels
- Exceptional organizational ability with a strong attention to detail, ability to multitask and prioritize effectively in a fast-paced environment with every changing priorities
- Proactive attitude and willingness to take initiative and anticipate needs and find solutions before the arise
- A highly flexible nature, able to work when required outside of the standard working hours
