We have a great opportunity in our Transit Control Department. We are looking for a Clerk, Payroll and Workforce Records to join our team!
Reporting to the Manager, Transit Operations, you will be responsible for performing a verity of assignments relating to processing and coordinating payroll for both unionized and staff positions within the Transit Control Department, employee records, and workforce-related matters.
This includes:
- Verifying daily/weekly time reconciliation statements and ensuring that time has been accurately recorded;
- Completing weekly and daily schedules;
- Validating and correcting daily payroll system reports and transactions and providing various reports as required to the manager;
- Identifying suspicious payment entries, investigating and taking appropriate corrective action as required;
- Maintaining a list of pay disbursements and arranging for the distribution of pay stubs to the appropriate work locations;
- Processing labour edits, salaried Staff Overtime notes and Weekly Labour notes into the Job Based Cost System;
- Maintaining all necessary documentation for new and recalled employees, cross-checking with recruitment requisitions to ensure the appropriate position is being filled;
- Assisting work locations by answering employee pay inquiries and helping resolve discrepancies in attendance information for pay shortage or overage;
- Providing supporting documentation and answering queries from auditors;
- Ensuring mileage forms are accounted for and the mileage payments are processed accurately;
- Responsible for cross checking daily labour cards against the timesheets for overtime hours worked by staff employees;
- Maintaining all payroll associated employee files for the department and purging or archiving the contents of the payroll files (timesheets, vacation forms etc.) in accordance with legal, corporate and collective agreement requirements;
- Validating and correcting daily absence system reports and transactions and reconciling those with payroll system information;
- Performing reconciliation of corporate versus section vacation records and making any necessary adjustments;
- Maintain documentation and historical records
- Perform relevant mathematical calculations and statistical analyses
- Communicate in a variety of mediums

- Your educational background includes the completion of secondary school education in a relevant discipline or a combination of education, training and experience deemed to be equivalent.
- Sound judgement, analytical and problem solving skills, good mathematical skills and organizational ability to prioritize work and meet deadlines;
- Good interpersonal skills and the ability to communicate effectively, both verbally and in writing;
- Must be detail-oriented;
- Proficiency in the use of a personal computer and applications relevant to the work (i.e. word processing, spreadsheet, databases);
- Knowledge of mainframe programs and other applications utilized (i.e. the On-Line Attendance Reporting System, Personnel Payroll System, Work Order System);
- Sound knowledge of pertinent sections of the Collective Agreements, Seniority Regulations, Salary & Wage Administration policies and other rules/guidelines related to payroll, employee benefits, labour reporting, and assignment or placement of unionized employees.
