Job Summary
We are looking for a skilled Receptionist/Accounts Payable Clerk whose main priority is answering the main phone line and directing calls. Second priority is to perform a variety of accounting, bookkeeping and financial tasks.
Responsibilities
Administrative:
- Greeting customer and guests
- Answer phones and transferring calls as necessary
- Taking and ensuring messages are passed to the appropriate staff member in time
- Managing office inventory such as stationery, equipment and furniture. Take inventory and reorder supplies when needed.
- Overseeing and arranging office services like cleaners and maintenance service providers
- Handling any travel arrangements for the staff
- Maintaining safety and hygiene standards of the reception, boardroom, lunch, and coffee areas
- Ensure tidiness of the general data bases
- Ad hoc administrative tasks such as parts pickups, lunches, appointments etc.
- Managing meeting room availability
- Bank deposits for the group companies
- Help employees with various administrative tasks and Ad hoc administrative tasks
- Entering and filing employee travel and purchase receipts
- Collect the mail
- Periodic updating apprentice hours to ITA
- New Customer credit application due diligence and follow ups
- New Supplier credit application completion form and follow up to ensure credit has been activated
- Cross training with other roles in the department for vacation coverage
- Other duties as required.
Accounting:
- Entering timecards to Projects in QBO
- Processing all customer payments including credit card payments as directed by accounting staff; and updating QBO accordingly.
Qualifications:
- Working towards a degree or diploma in accounting, finance or a related field.
- A deep understanding of accounting principles.
- Intermediate level skills with Microsoft programs, specifically Excel.
- Ability to multi-task and prioritize workload.
- Strong organizational skills with meticulous attention to detail.
