We are looking for a responsible Administrative Assistant to perform various administrative and clerical tasks. Administrative Assistant's duties include supporting our managers and employees, assisting in daily office needs and managing our company’s general administrative activities.

Responsibilities

Answer and direct phone calls
Organize and schedule appointments
Plan meetings and take detailed minutes
Write and distribute email, correspondence memos, letters, and forms
Assist in the preparation of regularly scheduled reports
Develop and maintain a filing system
Update and maintain office policies and procedures
Order office supplies and research new deals and suppliers
Perform searches and provide information
Some bookkeeping such as time-keeping records
Maintain contact lists
Maintain record keeping of both online and hardcopy documents
Submit and reconcile expense reports
Provide general support to visitors
Act as the point of contact for internal and external clients
Liaise with senior management and employees to handle requests and queries.
Provide administrative support to all professional staff as required.

Requirements:

Proven experience as an administrative assistant
Experience and knowledge of the Construction background
Knowledge of office management systems and procedures
Working knowledge of office equipment, like laptops, printers and fax machines
Proficiency in MS Office (MS Excel in particular)
Excellent time management skills and the ability to prioritize work
Attention to detail and problem-solving skills
Ability to work under pressure and meet deadlines
Excellent written and verbal communication skills
Strong organizational skills with the ability to multi-task
Valid driver’s license and reliable transportation preferred
Must live within the GTA or willing to relocate on your own.

Job Type: Full-time

Pay: $20.00-$25.00 per hour
