About the opportunity:

We are looking for a full-time Office Administrator and Bookkeeper who will be based in our beautiful new Westshore office. The ideal candidate has experience in client services, back-office administrative duties, bookkeeping, and the skills and maturity to work independently in a high functioning professional office environment.

Education, Training and Experience

A level of education, training and experience equivalent to high school graduation plus additional related course work in office or business administration. Proven ability to work with a variety of clients and teams to maintain and foster good working relationships. Bookkeeping experience or exposure to Quickbooks Online is an asset but not required.

Skills and Abilities

Discretion and excellent judgement in handling confidential material
Strong computer skills and extensive knowledge of applications such as MS Office (Word, Excel, Outlook)
Highly organized and keen attention to detail
Excellent interpersonal skills, including tact and diplomacy, in dealing with a variety of work situations and the general public.
Excellent oral and written communication skills.
Strong sense of teamwork.
Aptitude to be proactive requiring minimum direction.
Organizational skills and ability to work independently.
Work under pressure with short turnaround times; flexibility to ensure deadlines are accommodated.

Responsibilities include (but are not limited to):

Establish work priorities and ensure procedures are followed and deadlines are met
Editing and printing correspondence
Updating client contact information in our database
Client bookkeeping on a monthly and/or quarterly basis
Monthly reconciliations and month end reporting
Letter writing and proofing
Various other administrative duties as required

We are looking for a candidate who is willing to familiarize themselves will all areas of our admin processes to be able to assist in all areas as needed.
