Job Description

The Accounts Receivable Supervisor is responsible for overseeing the credit and collection process, assessment of creditworthiness of potential customers, credit reviews of existing customers, management of billing and collections team.

This position directly reports to the Controller.

This position needs a self-motivated business professional who is ready to take ownership of our AR, Billing, and Credit and Collections, and oversee the department performance.

Public transportation is not available in this location, so a personal vehicle is a must.

Responsibilities

Control and validate information received, and ensure compliance with company billing and credit policies
Oversee daily operations of the following functional areas:
Order Entry: gather information from multiple and unstructured sources: e-mails, web portals, phone calls; and enter it into TruckMate to dispatch service and bill customers
Warehouse Admin: ensure that the following tasks are done on a regular basis:

Completion of accurate inbound and outbound receipts

Respond to customer inquiries

Onboard new customers

Accurate billing of daily transactions and monthly storage
Billing: verify and validate all sources of information to ensure that customers for all four streams of business: brokerage, trucking, warehouse, and yard rent are billed accurately and on time
Rate Sheet set up and changes: participate in the process of setting up rate sheets for new customers, and making changes to existing customers. This process is the foundation for accurate and timely billing and collections.
Review credit applications, perform credit references and evaluations, and discuss with Controller and Sales Manager accounts with questionable credit history
Monitor all customer accounts, credit limits and aging of receivables, and communicate to the Sales team when an account is over its limit
Proactively identify delinquent and at-risk accounts, and develop collections strategies and escalation plans to collect all outstanding amounts
Reach out to customers to retrieve outstanding payments, and manage difficult personalities as part of the collection process
Identify and facilitate the resolution of all customer disputes on a timely basis
Understand customer payment patterns to estimate collections and develop strategies to improve cash flow
Hire, train, lead and monitor performance of AR team members
Analyze customer revenue seasonal trends, volume and rate changes
Perform other tasks and responsibilities assigned based on business requirements

Skills and Qualifications

5 – 7 years of progressive work experience in AR, Billing, Credit and Collections experience
3 years of supervisory experience
Bachelor degree in Business Administration, Accounting or Finance
Certified Credit Professional (CCP) designation or equivalent experience
Excellent knowledge of Microsoft Office and proficiency with computerized accounting systems
Strong working knowledge of credit principles and best practice
Strong problem-solving skills with good organizational, time management and prioritizing skills
Presentation skills and ability to conduct meetings
Understanding of trucking industry and warehouse operations
