The Role:

Reporting directly to the Director of Human Resources and indirectly to the HR Business Partner, the Payroll Specialist, will ensure accuracy, compliance, and efficiency in payroll processing. This role is ideal for an experienced payroll professional with a deep understanding of Canadian payroll regulations and a track record of success in the automotive industry. This position does not have any direct reports and is located onsite (not hybrid or remote).

Responsibilities:

Payroll Processing

Process payroll for all employees and agency workers in compliance with all appropriate federal, provincial and local withholding regulations;
Assist with onboarding processing hires, terminations and off-boarding, status changes, pay rate changes and other employee data updates;
Calculate payroll adjustments, including increments and vacation pay adjustments;
Ensure deductions, benefits, and other payroll-related elements are processed accurately;
Process and monitor garnishment orders and other issues that impact payroll specifications;
Audit approved time sheets and time off requests before processing payroll transactions;
Balance all payrolls and transmit payroll, including recalls and void payment processing requests.

Benefits Administration and Compliance

Assist with administering the Company group benefits and RRSP program, including monthly reconciliations;
Ensure that deductions are accurately assigned, including benefits co-share deductions calculate any arrears and advise employees of processing timelines;
Liaise with HR and manage enrolment of new hires, corporate benefit and RRSP contributions and deductions (once introduced), and implementation of new policies, programs, and other relevant matters;
Administer ROEs and remittance filings and respond to any employment insurance inquiries.

Compliance and Reporting

Stay abreast of Canadian payroll legislation and ensure compliance with federal and provincial regulations;
Prepare and submit required statutory reports, including T4s, ROEs, and other relevant documentation;
Prepare all government remittances as required by law within the timeframes required and reconcile payroll records to monthly statements;
Prepare year end employee tax slips or forms and submit government filings to meet deadlines;
Assemble reports of employee earnings, taxes, deductions, leave, new hires, terminations, compensation increases, stat holiday pay, disability payments and non-taxable wages and other variances ad hoc, bi-weekly, monthly, quarterly, and annually;
Collaborate with finance and management to reconcile payroll-related accounts and resolve discrepancies;
Maintain confidential information by adhering to legal and ethical standards.

Team Collaboration

Collaborate with sales, finance, and other departments to ensure seamless communication and integration of payroll-related information;
Provide guidance to other staff members on payroll-related matters and foster a positive and collaborative work environment;
Train and coordinate with managers to ensure accurate submission of hours, vacation, and time off requests, and missed time;
Provides on-going assistance to employees in tax-related payroll matters.

System Management

Implement best practices in system utilization and stay informed about system updates and improvements;
Support all compliance requirements and assist with researching legislation updates;
Assist with administration of payroll functions within the core payroll and HRIS system;
Stay abreast of the payroll processing system and changes in local wage/tax laws and apply changes as appropriate.

Other Duties

Support the A/P and A/R departments in occasional processing;
Respond to all payroll enquiries from employees, management and external government agencies.

Qualifications & Experience:

Degree/diploma in Human Resources, Accounting, Finance or related fields;
Working towards a PCP is an asset, but not required;
3 to 5 years experience in processing payroll in a manufacturing environment;
Strong computer skills including Microsoft Office, Microsoft Excel and web-based software programs;
Past experience working with Payworks is considered an asset;
Ability to work effectively both independently and as a team;
Ability to ensure quality of work and attention to detail;
Excellent communication skills;
Excellent organizational skills, with an ability to prioritize important tasks and projects;
Able to adapt to changes in the work environment, manage competing demands and able to deal with frequent change, delays or unexpected events.
