Job Description

We are seeking a friendly and organized Office Administrator to join our team. As the first point of contact for our clinic, you will play a crucial role in creating a welcoming atmosphere for our clients and their families. Your responsibilities will include managing front desk operations, scheduling appointments, handling client inquiries, and maintaining client records.

Key Responsibilities:

- Answer phone calls and manage client inquiries in a professional and courteous manner.

- Schedule and confirm appointments using our clinic’s scheduling software.

- Maintain accurate client records and ensure all necessary documentation is completed.

- Process client intake forms and insurance information

- Coordinate with therapists and administrative staff to ensure smooth clinic operations.

- Handle billing and payment processing.

- Assist with general administrative tasks as needed.

Skills

- Proficiency in basic office tasks such as data entry, clerical duties, and front desk operations.

-Knowledge of QuickBooks or similar accounting software is a plus

- Familiarity with medical office procedures and terminology is an asset.

- Ability to work effectively in a team environment, demonstrating excellent communication and interpersonal skills.

- Experience with customer support or client-facing roles is preferred.

- Knowledge of Google Suite for documentation and organization purposes is beneficial.

- Strong attention to detail for tasks like proofreading documentation and maintaining accurate records.

Qualifications:

- High school diploma or equivalent; additional education or certification in office administration is a plus.

- Previous experience as a receptionist or in a customer service role, preferably in a medical or pediatric setting.

- Excellent verbal and written communication skills in Farsi and English.

- Strong organizational skills and attention to detail.

- Proficiency in using scheduling and medical record-keeping software, specifically Power Diary.

- Ability to multitask and handle a busy work environment with professionalism.

- A friendly and compassionate demeanor, especially when working with children and families.
