Job Description

Our agency is currently seeking a full-time Accounting Coordinator to join our financial services team. The Accounting Coordinator will be responsible for ensuring accurate vendor payments and client billing. This position will suit an individual who is highly detail-oriented, capable of working both independently and as part of a team, and willing to work flexible hours.

Some of the amazing work you’ll do:

Handle the set-up of new vendors, purchase orders and approval of vendor invoices for payment
Handle invoicing and billing for the agencies – serve as a trusted advisor and financial liaison
Working closely with the Finance Manager, assisting with the overall billing process including monthly client billings, accounts receivable, and budget trackers for account teams
Understand the business, operations, key drivers, and success factors
Help prepare financial reports used in the preparation of income statement, balance sheet and cash flow statement
Assist with quarterly balance sheet reviews and assist in the preparation of budgets and forecasts as required
Assist with financials and invoicing for multi-company entities and regional offices across Canada
Assist with internal controls relevant to the accounts payable and client billing processes and help lead any process improvement activities
Monitor and analyze financial processes related to accounts payable and client billing to develop more efficient procedures, best practices and a more timely closing process while maintaining a high level of accuracy
Create strong checks and balances to ensure accuracy on all vendor payments, and monthly and annual client billings
Assist with the development of new systems and procedures to support the financial process
Prepare, review, and oversee the reconciliation of inter-company balances and pre-bills for clients
Resolve accounts receivable and invoicing issues internally and directly with clients
Resolve accounts payable and vendor payment issues internally and directly with vendors
Support internal activities related to the audit of financial statements
Performing various other financial and administrative duties to assist the team and partner agencies (North Strategic, MSL, Notch Video, Publicis), as required

Qualifications

Who you are:

Prior experience working in a professional services agency is preferred
0-2 years of experience in accounts payable, invoicing, client billing, and receivables
Strong ability to problem-solve and to make day-to-day decisions
Excellent organizational skills and ability to establish priorities with little direction in a fast-paced environment
Ability to balance multiple tasks and prioritize, ensuring timely and accurate reporting
People oriented with the ability to establish a high degree of credibility with staff, clients and vendors
Excellent track record of partnering with internal and external clients
Provide proactive solutions to financial accounting and reporting issues
Ability to work under pressure and manage multiple requirements and deadlines related to the role
Ability to deal with confidential and sensitive matters appropriately
High-level of proficiency with financial technology including SAP, Excel, Word and Outlook
Ability to ensure compliance with company policies and procedures
Excellent knowledge of accounting and financial terminology, best practices and trends
