The Accounts Payable Assistant will work closely with and report to the Accounts Payable Lead at our Coquitlam office for an 18-Month contract. The primary focus will be matching and entering invoices, resolving A/P issues, reconciling statements, managing and responding to vendor inquiries. Other responsibilities include attending to the general administrative needs of the AP/Finance Department.

Responsibilities:

Distribution of incoming invoices and allocating invoices to specific jobs
3 way matching PO, invoice and packing slip and identifying possible discrepancies
Minor coding for overhead expenses
Enter and post invoices for Construction, Service, Retrofit, Sprinklers, and Island divisions
Send invoices to Project Manager for approval or back to Purchasing for correction
Once approved, posting batched invoices into Jonas
Review vendor statements and request missing invoices on a monthly basis
Respond to vendor inquiries in a professional and timely manner
Manage the AP email inbox – review and organize emails daily
Able to work in a paperless environment
Assist with other duties as required

Qualifications:

Minimum 2 years of experience in an AP environment
Construction industry experience is preferred
Proficiency using Microsoft Office (Outlook, Word, Excel)
Attention to detail, problem solving and analytical skills
Ability to communicate effectively, both orally and in writing
Organizational skills and ability to work under pressure to meet deadlines and handle multiple tasks within a fast-paced work environment
Experience with Jonas Construction Management Software is an asset, but not required
