The Vanscoy and District Early Learning Centers (VELC), is a growing non-profit, charitable organization, looking to hire a full time Executive Assistant/Bookkeeper. The organization is governed by a board of directors. The chosen Candidate will be expected to work in office at times but can work remotely as well. This role will be responsible for assisting in maintaining accurate financial records, processing transactions, and providing administrative support as needed. The ideal candidate will have strong organizational skills, proficiency in accounting software, a keen eye for accuracy, and the ability to work efficiently in short periods of time. This position offers a flexible schedule and an opportunity to contribute to our organization’s success while gaining valuable experience.

Position Profile

· Maintain accounting system using QuickBooks, fees, and donations.

· Perform monthly bank reconciliations and prepare monthly financial statements.

· Issue government remittances. Job Summary:

Desired Qualifications

· Diploma or postsecondary training in Bookkeeping.

· 2+ years of bookkeeping or relevant experience, familiarity with the general principles of accounting

· Must have knowledge of QuickBooks

· Working knowledge of Microsoft Excel, Access and Word

· Well-developed organizational and time management skills with a proven ability to multi-task

· Proven track record in consistently producing high quality, accurate work and meeting deadlines

· Not for profit or grant management experience considered an asset

Duties

· Interpret and apply accounting policies, rules, and regulations to all work to ensure compliance with applicable standards

· Prepare financial reports through collection, analysis, and summarization of data

· Administers daily financial and accounting transactions, ensuring an accurate and organized system is maintained.

· Perform account receivable functions including invoicing, deposits, collections, and revenue recognition

· Perform all activities related to the accounts payable function including reviewing, coding, and processing payments

· Reconcile bank account and credit card accounts

· Apply for grants

· Enter Wage enhancements

· Pay bills

· Meet with board committees when needed

· Go over budget with directors

· Send board of directors financials to pass at Board meetings.

· Payroll

· Check changes in employee’s yearly dates, and benefits, bonuses, pension for payroll deductions

· Enroll employees with benefits and pension.

· Check mail/ do bank deposits as needed.

· Licencing – inspections – Furnace, Public Health and Fire – Director’s responsibility but ED help.

· Review regulations continual basis

· Gather info for Audit.

· Send in copies to ISC Corporations to change board members on corporation documents/changes after AGM.

· Submit charities documents

· Yearly/monthly Budget

· Insurance – September and June camps

· WCB enter T4 from previous year and submit payments

· Finalize summer student data after students are done
