We're looking for a Payroll Manager to manage the external payroll vendor relationship ensuring that services are provided according to service level agreements and that the provider remits payroll deductions to government agencies and benefit providers by their due dates. This individual will build and maintain Aviva’s employee record keeping system and records retention practices in accordance with legislative requirements and internal business rules. The successful candidate will respond to employment verification requests, subpoenas, other legal requests, or internal requests for employee information.

What you'll do:

Run the external payroll vendor relationship ensuring that services are provided according to service level agreements and that the provider remits payroll deductions to government agencies and benefit providers by their due dates, including the remittance of taxes and statutory contributions on behalf of Aviva plc and Aviva Canada expatriates.

Serve as liaison with Aviva’s payroll vendor for the purpose of supervising delivery of services against established SLA’s, issue escalation, and organizational change, Verifies and approves Aviva-originated mass data submissions to the payroll services provider.

Work with payroll vendor to coordinate year-end payroll processes, balances, records & schedules, and off-cycle processes.

Manage Aviva’s employee records policy and processes. Conducts and coordinates file maintenance and record audits to ensure employee database accuracy and compliance with legislative and internal guidelines. Coordinates employment verifications upon request.

Work with the payroll vendor to determine evolving standard methodology workflows and payroll procedures to support business needs (e.g. creation of new HED codes).

Build and maintain records management policies and desk procedures for the Employee Records Coordinator

Conduct analysis and recommend action to resolve issues. Prepare reports on SLA compliance, issue resolution and other information as required for management.

Balance, audit and approve and distribute tax reports, financial summaries, and management reports from payroll services provider to ensure accuracy of payroll, ensure the integrity of payroll outputs, and to ensure all corrections are submitted to and handled by payroll provider.

Provide reports to accounting department to allow them to reconcile the G/L

Supervise and mentor the Employee Records Coordinator.

Coordinate responses to employment verification requests.

Work closely with the payroll services supplier, the Rewards team and HR Generalist team to resolve payroll-related issues.
What you'll bring:

Demonstrated ability (7+ years) in a senior payroll capacity

Certification from the Canadian Payroll Association

Solid understanding in Microsoft Office (Word, Excel and Access) and ADP

Strong communicator with the ability to handle external relations

Strong problem solving and decision making abilities

A passion for working with others to solve problems and find operational improvements

Works well under pressure with tight timelines and multiple priorities
What you’ll get:

The salary band for this position ranges from $79,500 to $147,700. Please note that individual salary is determined by factors such as job-related knowledge, skills and experience, as well as internal equity.
