We are a privately-owned and established real estate management, property development, and construction company seeking the right candidate to be responsible for various administrative tasks related to property management of a small growing portfolio of commercial and residential properties, and who will assist with customer service and and office operations.
ESSENTIAL DUTIES AND RESPONSIBILITIES
- Accounting/reporting cycle for various properties
- On-going liaison for tenants and prospects with regard to appointments, screening, issues and concerns and resolution, after-hour calls; viewings, move-in and move-out inspections
- Digital and manual tenant files tracking and updating for completeness including lease agreements, amendments, renewals, terminations, insurance, offers to lease, notices, contracts, lease abstracts, tenant letters and all other documentation
- Administer tenant correspondence, follow-ups for rent, utility and chargeback collections, including vacancy and arrears management
- Enforce contract and lease agreements, adherence to landlord, tenant and building acts and policies, administer properties within approved budgets; and conduct all property management policies, procedures and operations effectively
- Liaise with Management and external legal teams as required on legal matters
- Prepare and execute property maintenance programs and proper and efficient solutions; screen repairs and maintenance calls; create work orders for contractors, book appointments, manage quality control and compliance for all repair/renovation projects
- Team-up with staff to perform office/administrative duties including the answering and dispatching of telephone calls, receipt and distribution of mail, and other duties as assigned
QUALIFICATIONS
Education: Bachelor's Degree (preferred)
Experience:
- Property management: 2 years (preferred)
- Strong understanding of lease agreements, commercial rental billings, and account receivable processes
- Working knowledge and experience in bookkeeping (2 years minimum) and accounting software (QuickBooks, Sage)
- Advanced Excel skills with practical experience in using basic functions such as Pivot Tables, lookups, arrays, and conditional statements.
- Ability to work within a fast-paced, cross-functional, changing environment with minimal supervision, and to work well with others
- Excellent oral and written communication skills; fluency in English a must
- Superior interpersonal, people management and customer service skills; excellent in conflict resolution, an effective negotiator
- Strong administrative and organizational skills
- Highly professional manner and high degree of discretion
- Own vehicle and valid insurance is essential
- Ability to work flexible hours as necessary (for activities such as viewings, move in’s and move out’s, emergencies)
