Accounts Payable /Payroll

Frigid Rentals Inc. is a locally owned company that has been servicing the transportation industry 20 years while building and maintaining trusted and valued relationships with our customers. We have locations in Vars, Kingston, and Toronto. The successful candidate will be responsible for the helping to prepare and validate biweekly payrolls. The tasks will include the need to work directly with Managers, and individual employees. It will also require setting up new employees in Keystone, make required changes, monitor employee benefits in system, and terminate or adjust as required. There will also be a component of assisting in managing and responding to payable inquiries as well as performing data entry and related duties in disbursing non-payroll accounts payable to individuals, suppliers, corporations, and other entities.
Job Duties
- Extract timesheets and review work hours for completeness and accuracy.
- Administer group health benefits and pension program.
- Assist in the coordination of recruitment and onboarding activities, acting as a point of contact for new hires.
- Manage all incoming internal employee requests providing timely responses to internal inquiries.
- Compile payroll data and complete biweekly reconciliations.
- Prepare payments to third parties, whether by cash, cheque, EFT, credit, and other forms of payment once approved by management.
- Audits purchase requests for materials, supplies, equipment, and other collateral; verifies that orders are charged to the proper GL accounts.
- Post and reconcile company payments to general ledgers.
- Enter vendor bills while reviewing for potential errors and/or discrepancies.
- Review all credit balances, refunds, and adjustments, and apply adjustments and/or corrections to corporate billing records.
- Monthly A/P batches; prepare and distribute payment reports and statistics to key personnel.
- Assist Accounts Receivable administrators as needed

Requirements
- 3-5 years direct experience in an A/P capacity.
- Previous payroll administration experience.
- Demonstrated knowledge of payroll, payroll tax laws and payroll processing.
- English essential (bilingual preferred by not necessary)
- Demonstrated ability to accurately calculate, post, correct, and manage accounting figures and financial records.
- Computer literacy, including effective working skills of MS Word, Excel and e-mail required
- Strong diplomatic, negotiation, and conflict resolution skills in order to handle late payments and delinquent accounts.
- Effective communication skills with individuals at all levels of the organization
- Sound analytical thinking, planning, prioritization, and execution skills.
- Strong problem identification and problem resolution skills.
- Must have excellent oral and written skills
- Good time management skills
