Position Overview:
We are seeking a highly organized and proactive administrator to join our dynamic team at Solify, a leading provider of solar energy solutions. The successful candidate will play a pivotal role in managing day-to-day administrative functions, facilitating communication with key stakeholders including hydro companies, engineers, installers, and clients. This role requires excellent interpersonal skills, attention to detail, and the ability to manage multiple tasks efficiently.
Key Responsibilities:
- Stakeholder Communication: Act as the primary point of contact for hydro companies, engineers, installers, and clients. Facilitate smooth and effective communication between all parties to ensure project milestones are met and client needs are addressed promptly.
- Documentation and Reporting: Maintain accurate records of communications, project updates, and administrative processes (ie. accurately keeping track of invoices).
- Project Support: Assist in tracking the progress of ongoing projects, ensuring that all necessary documentation and approvals are in place. Support project manager and engineers with administrative tasks to facilitate project completion.
- Client Relations: Address client inquiries and concerns professionally and efficiently. Provide timely updates on project status and resolve any issues that arise. Sending clients invoices and ensuring they are paid in a timely manner.
- Office Management: Oversee general office operations, including managing office supplies, handling correspondence, and supporting other administrative functions as needed.
Qualifications:
- Education: High school diploma or equivalent required; associate’s or bachelor’s degree in business administration, communications, or a related field preferred.
- Experience: Minimum of 2 years of experience in an administrative role, preferably in a technical or engineering environment. Experience in the solar industry or a related field is a plus.
Skills:
- Excellent verbal and written communication skills.
- Strong organizational and multitasking abilities.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with project management software.
- Familiarity with QuickBooks is a necessity.
- Ability to work independently and as part of a team.
- Customer-focused with strong problem-solving skills.
