Position: Bilingual Administrative Coordinator (English/French), General Insurance OmbudService (GIO)
Hybrid position (work in Toronto office)
Reports to: Director of Administration, GIO
Position Purpose:
To provide a full range of high-level administrative management, support and co-ordination for GIO. Responsible for exercising initiative and judgment in handling routine and confidential materials/inquiries in all areas. Works under general supervision; considerable coordination and time management skills required.
Responsibilities
1. Perform administrative functions of GIO as needed.
2. Assist with the collection and payment of all accounts payable/receivable.
3. Maintain working relationship with all administrative business partners.
4. Compose routine correspondence and memoranda, maintain appointment schedules, schedule meetings, etc.
5. Assist with Member Company Assessment Billing.
6. Responsible for receiving all physical mail from the GIO Toronto office and distribute accordingly.
7. Book conferences, hotel and travel for GIO staff and Board
8. Responsible for overall management and distribution of conference materials.
9. Manage administrative aspects of GIO internal company database.
10. Prepare/reconcile/submit all company expense reports.
11. Assist with coordination of CEO travel arrangements: prepare detailed itineraries and agendas and prepare documentation for business meetings.
12. Research and gather information for projects.
13. Maintain physical and electronic filing systems.
14. Assist with coordinating and preparing Board of Directors and Annual General Meetings materials and facilities (prepare agendas, arrange meeting facilities and co-ordinate materials).
15. Purchase office supplies following budget guidelines.
16. Observe strict confidentiality in respect of Company affairs.
17. Prepare reports as required.
18. Provide full backup to Director of Administration.
19. Backup Technology Specialist as needed
20. Any other tasks as assigned
Qualifications
-Demonstrated skill in composition and proofreading.
-Intermediate skills working with MS office and cloud-based technology
-Accurate typing of 75 wpm
-Develop and manage a variety of filing systems
-Organizational, record-keeping, and independent job planning skills
-Demonstrated ability to work collaboratively within a team, providing support to GIO CEO, staff and Board of Directors
-Willingness to stay updated with the latest technological advancements and trends
-3-5 years work experience in an administrative roll

Pay: $60,000.00-$70,000.00 per year
