Role
As an integral member of our operations team, the Administrative Assistant will play a crucial role in supporting our Partners and transaction team while ensuring the smooth operation of our day-to-day office activities. The Administrative Assistant’s contributions will enable our team to focus on operating and growing our business, delivering the best possible bespoke experiences for the firm’s clients.
This dynamic role requires a highly organized, detail-oriented, and proactive professional capable of efficiently managing multiple tasks in a fast-paced environment. The ideal candidate will possess exceptional communication and organizational skills, a strong ability to prioritize, and a readiness to address the diverse needs of the office and its staff.
The successful candidate will be exceptionally proactive, ready to take on any task, and skilled at foreseeing needs and managing ambiguity with ease.
Core Responsibilities
- Provide high-level administrative support, ensuring quality service and professionalism.
- Manage calendar appointments, expense reporting/tracking, travel arrangements, and organization/maintenance of internal documents.
- Take ownership of the office environment, ensuring it is well-maintained and operating at peak functionality.
- Support meetings by preparing agendas, recording minutes, and ensuring all necessary materials are available.
- Follow up on agenda items, minutes, or deliverables, coordinating with facilitators and presenters to ensure timely delivery of materials.
- Cultivate and maintain strong relationships with vendors, colleagues, and other key internal and external partners.
- Provide front desk coverage, greeting clients in a friendly and professional manner, and maintaining Balmoral’s standard of excellence.
- Oversee the management and enforcement of internal policies.
- Assist with the orientation and onboarding process for new employees.
- Complete audit responsibilities as required to ensure compliance and accuracy.
- Assist in managing the office budget, providing regular updates and reports.
- Lead and manage special projects, ensuring timely and successful completion.
- Coordinate office activities and events.
- Manage inventory and assist with ordering office supplies and kitchen needs.
- Service coffee/ice machines and office equipment, liaising with appropriate vendors or individuals as needed.
- Perform errands as required.
- Communicate effectively with clients, both verbally and in writing, when necessary.
Qualifications
- Minimum of 1 year of relevant experience in an administrative or professional support role.
- Exceptional communication skills, both oral and written.
- Strong interpersonal skills and the ability to work effectively within a team environment.
- Excellent time management and organizational abilities.
- High attention to detail and accuracy.
- Strong problem-solving and analytical skills, with the ability to identify, assess, and address issues independently and proactively.
- Strong organizational skills including the ability to organize, plan, and schedule activities and strong calendar management/scheduling skills.
- Demonstrated integrity, professionalism, and loyalty.
- Ability to handle confidential and sensitive information with discretion.
- Proficiency in Microsoft Office 365, particularly Outlook, Excel, and Word.
- Highly motivated self-starter, adaptable to a fast-paced environment.
- Ability to multitask, prioritize, and maintain a flexible schedule.
