WHAT YOU BRING TO THE TABLE:
a) Post-secondary degree or equivalent experience.
b) Minimum 5 years’ experience.
c) Excellent communication skills.
d) Mathematical aptitude.

f) Computer literate and experience
g) Financial certificate (CMA, CA, CGA)
h) Knowledge of ISO 14001 Environment Management System.

SCOPE OF POSITION:
To supervise the administration staff ensuring that all financial reports are prepared accurately and within the prescribed time limit. To ensure that employees are properly trained and that they receive regular job performance feedback. To provide administrative support and financial advice to other supervisors and managers.
To participate as a member of the Management Team in the development, implementation and maintenance of the Quality Management System and Environmental Management System.
SPECIFIC JOB RESPONSIBILITIES:
SUPERVISE:
a) To assign, instruct and direct the administrative staff towards satisfactory completion of work.
b) To ensure that each person performs effectively within their own job description.
c) To encourage job rotation wherever possible through training.
d) To co-ordinate work schedules to accommodate all functions including vacation, absence, period-end, etc.
e) To motivate employees to perform to their fullest capability.
f) To create an atmosphere which encourages employees to use their initiative and professional development towards advancement.
g) To provide counselling and support when needed.
h) To ensure that employees are trained in the tasks as required.
PLANNING:
a) Responsible for the development, preparation and monitoring of the financial costs and administrative goals of the company. Participate, as requested by the General Manager, in the preparation of the locations annual budget.
b) To plan staff requirements.
c) To prepare a realistic budget.
d) To prepare a 3 year plan.
CONTINUOUS IMPROVEMENT:
a) Implement, lead and participate in continuous improvement activities to ensure direction to targets is maintained and goals are met.
TECHNOLOGY:
a) Responsible to keep himself/herself updated on technological improvements within the industry.
REPORTING:
a) To keep management informed of all current activities through analysis and various reports.
b) To prepare and complete interim and year-end financial statement packages in order to minimize audit costs.
c) To review all standard reports - cash, sales, production, payroll, etc. and prepare if required.
d) To prepare all special financial reports as requested by the General Manager.
e) To prepare external reports for the government, auditors and the bank.
f) To report any situation which would adversely affect the smooth running of the company.
g) To ensure that all necessary information is provided to the Continuous Improvement Team.
h) To ensure that the monthly financial statements are prepared on a timely basis and that they accurately reflect the company’s position.
RECORDING/DATA COLLECTION & DISTRIBUTION:
a) To ensure all relevant data is recorded accurately and timely.
b) To participate in the design of all forms such as: invoices, cheques, purchase orders, requisitions, etc.
c) To maintain proper archives.
d) Maintain a policy and procedures manual regarding job function.
e) To develop and successfully implement cost effective recording system.
f) Collecting production data, scrap, etc., and distribution to team.
REVIEWING:
a) To measure the extent of successful performance and accomplishments in comparison to company standards.
b) To ensure that staff performance conforms to standard guidelines.
c) To review and recommend changes to policies and procedures where necessary.
d) To analyse monthly financial statements to history and budget.
e) To ensure that all balance sheet items are recorded on a monthly basis.
ADMINISTRATION:
a) To work independently on executive and administrative activities to attain key company objectives. To act without previous specific direction or instruction.
b) To develop, apply and share new ideas for the overall improvement and success of the Company.
c) To provide administrative support for other departments, as required.
d) To administer company policies and procedures.
e) Ensure that ISO/TS 16949:2002 (and Q.O.S.) is maintained and updated as required.
f) Ensure that all ISO 14001 requirements are maintained and updated as required.
CONTROLLING:
a) To apply and implement existing and/or new policies and procedures in such a manner as to reflect the company's present and past practices and goals.
b) To maintain fixed assets control including sub-ledgers for each fixed asset item.
c) To control all critical forms such as cheques, invoices, purchase orders, etc.
d) To supervise Purchasing, Inventory Control, accounts payable and accounts receivable at the most effective levels.
e) To exercise proper cash flow management by ensuring adequate cash is available to make payments as they become due.
f) To ensure all goods shipped and all goods received are properly documented (in line with laid down procedures) and all cut-off procedures are followed to provide an accurate financial position.
g) To ensure inventory taking is scheduled as required and that proper count procedures are followed by plant personnel.
h) To assist the General Manager in controlling overhead costs.
COMMUNICATIONS:
a) Ensure there are no quality or production interruptions or errors due to your lack of giving or seeking information by:
b) Fully informing the General Manager or any other supervisor of all events affecting production.
PERSONNEL:
a) Participate in the hiring of personnel for the office by:
b) Interviewing and making recommendations to your supervisor.
c) Informing new employees of company policies, practices and procedures.
d) Overseeing progress of training, ensuring that employees meet job standards with probationary period.
e) Where probationary employee does not meet standards, make recommendations for the disposition of the employee.
f) To provide regular feedback on job performance by:
g) Ensuring that employees are aware and working to job descriptions and standards.
h) Recommending and taking appropriate corrective action with personnel where employee does not meet standard.
i) Assist Human Resources in monitoring attendance and scheduling holidays by:
j) Ensuring that no more than the appropriate people are off at any given time and that holidays are taken in the allotted time slot.
k) Participating with employee in on-going performance reviews and standards.
l) Be receptive to employee problems and concerns when they arise. Seek and provide a prompt response and/or resolution by:
m) Giving an immediate answer where rules are clear, and by seeking answers from your supervisor where necessary.
OCCUPATIONAL HEALTH AND SAFETY:
a) Report all incidents, accidents and/or hazards.
b) Wear and/or use the appropriate personal protective equipment as required for the position (defined).
c) Adhere and follow lockout/tagout procedures.
d) Performs housekeeping activities as required.
e) Comply with the Occupational Health and Safety Act (OHSA), particularly the "Duties of Workers" as stated in section 28 of the Act.
f) Comply with the Workplace Safety and Insurance Act (WSI Act)
g) Participate and cooperate with the Joint Health and Safety Committee to improve company safety.
h) Understand and use the Workplace Hazardous Materials Information System (WHMIS) to ensure the safe handling, using, storing and disposing of hazardous products in the workplace.
i) Comply with all Health and Safety rules, policies and procedures of the division and as stated in the INOAC Exterior Systems Inc. Employee and/or Managers Handbook.
