Your Role:
As an HR Manager & Admin at PakFactory, you will play a pivotal role in ensuring smooth office operations and providing essential support to various teams. Your organizational skills and attention to detail will be crucial in maintaining efficient office procedures and fostering a productive work environment.
Key Responsibilities:
1. Human Resources
- Be the primary team member handling hiring, screening and scheduling of calls / interviews
- Track time-off and leave and/or vacation requests
- Manage employee onboarding and offboarding process
- Coordinate training and development programs
2. Office Administrative Support
- Perform general office duties such as filing, data entry, and managing office supplies.
- Assist in preparing reports, presentations, and correspondence.
- Maintain organized and up-to-date records and documents.
- Track and budget office expenses
- Manage and purchase office supplies, refreshments, snacks
3. Executive Assistant - Scheduling, Coordination and Recording of Meetings:
- Schedule meetings and appointments for account managers, ensuring all logistics are arranged.
- Project management with use of Jira software
- Coordinate with internal teams and clients to confirm meeting times and locations.
- Prepare and distribute meeting agendas and materials as needed.
- Record meeting minutes for leadership and/or CEO
4. Basic Office and Technologies Support
- Oversee office infrastructure status, including network-attached storage (NAS) and internet connectivity
- Complete tasks and update information in CRM/ERP systems accurately.
- Generate reports and analyze data as required.
6. Other Duties:
- Basic call handling and redirection if necessary
- Assist with special projects and other administrative tasks as assigned.
- Support team members with various tasks to ensure overall efficiency.
Qualifications:
- High school diploma or equivalent; associate's or bachelor's degree preferred.
- Proficiency in IT and familiarity with new technologies
- Strong computer skills and ability to learn new software quickly
- Ability to speak Chinese (Cantonese and/or Mandarin) is an asset
- Highly organized, dedicated, and a problem-solver
- Experience with project management is an asset
- Experience with human resources related work is an asset
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with CRM/ERP systems
- Strong organizational and time-management skills
- Excellent communication and interpersonal abilities
- Ability to handle multiple tasks and prioritize effectively
- Customer-oriented attitude with a focus on providing exceptional service.
Working Conditions:
- This position is based in an office environment.
- Standard working hours, with occasional flexibility required for special projects or deadlines.
