The Administrative Bookkeeper provides support to the BPB team, clients and office visitors. By handling various tasks, this position ensures that all interactions between the organization and others are positive and productive. The Administrative Bookkeeper oversees general office management duties and supports bookkeeping duties such as inputting and updating information into QuickBooks, spreadsheets, and other databases.
The team member in this role will be professional and polite and work with a high degree of accuracy. They will be comfortable with computers and general office tasks and excel at verbal and written communication. Most importantly, the Administrative Bookkeeper should have a genuine desire to meet the needs of others, great attention to detail, and the ability to work efficiently.
Administrative Bookkeeper responsibilities:
- Greet and assist all visitors to the office, answer phone calls and route callers appropriately, and respond to email and telephone inquiries promptly and clearly.
- Maintain a polite and professional demeanour in all interactions with colleagues, clients, and guests.
- Complete bookkeeping, including issuing invoices and data entry into various software (i.e., QuickBooks, MS Excel spreadsheets) and databases.
- Promptly identify incomplete documents.
- Create and maintain an electronic filing system.
- Scan bookkeeping documents (i.e., receipts, statements, etc.) to create electronic files, ensure all documents are included, and identify deficiencies.
- Workflow management in FinancialCents updated daily.
- Provide a high level of client care by creating a positive experience in every interaction, whether via phone, email, virtually or even in casual interactions with clients.
- Process Improvement: Identifying and implementing process improvements to streamline bookkeeping and accounting procedures.
- Provide consistent, accurate, full cycle bookkeeping for multiple clients using GAAP principles, including but not limited to: Payroll - Process, review, and reconcile payroll for clients including reviewing timecards, payroll runs and managing T4 and ROE’s, Administration of benefits, File all government remittances and source deductions; Payables - General ledger and journal entries, Process accounts payable cheques and other payment methods, Verify, post, and review all expenses for proper allocation; Receivables - Create and manage client invoices, Recording of payments and cheque deposits; Reconciliation - Reconcile monthly credit card and bank statements.
Skills & Qualifications
- 1 - 3 years of Administrative Bookkeeping experience
- Experience working in a client focused bookkeeping role is an asset
- Proficiency in payroll and bookkeeping
- Strong ability to learn quickly and takes personal initiative
- Experience with accounting software such as QuickBooks Online and FinancialCents
- Knowledge of accounts payable, accounts receivable, and account reconciliation
- Strong interpersonal and communication skills
- Proficiency in Microsoft Excel
- Strong attention to detail and produces high quality work
- Consistently meets deadlines

Pay: $37,000.00-$40,000.00 per year
