HVAC SERVICE CO-ORDINATOR

We are looking for a HVAC Administrator for our Service Department to support our Service Manager and other office staff.
Candidates must have:
· 1-2 years experience/knowledge in a similar role, experience in HVAC/construction required
· Bookkeeping skills and experience
· Proficiency with various programs (Microsoft Office, SAGE accounting (required), , Service Box) with propensity for learning new programs
· Highly organized and able to handle multiple tasks simultaneously
· The ability to work independently, have time management skills and can work well with all levels of management and personnel
· Professional, punctual, and customer-centric oriented
· Aptitude for problem solving
· Strong oral and written communication skills
· Detail-oriented and a high degree of accuracy
Duties:
· Process warranty claims online or on the phone with various suppliers.
· Handle scheduling for regular maintenances of buildings we look after. Maintaining an excel sheet with the schedule & continuously update it.
· Handle scheduling for service calls and installations for our technicians.
· Order new HVAC parts, keep track of parts ordered and match parts that are ordered to customer invoices. Incorporate part pricing into invoices.
· Processing of work orders including reading them, inputting pricing info into them & invoicing the appropriate company. Any discrepancies must be relayed to the appropriate technician or service manager. The Work Orders must be filed after they have been invoiced.
· Carrying out clerical duties such as: answer a moderate volume of incoming calls, relay those calls, transfer to voicemail/take detailed messages if necessary, and handle customer issues as required, responding to emails
· Perform general administrative tasks: co-ordinating purchase orders, timesheet processing, organizing receipts, matching packing slips to supplier invoices
· Performing bookkeeping tasks with Sage50 software such as invoicing, monitoring accounts receivable and collection calling, accounts payable
· Maintaining general office files, including job files, vendor files, and other files related to the company’s operations.
· Process weekly technician timesheets including matching the hours to the Work Orders.
· Daily processing of mail which is delivered/small packages.
· Monthly office consumable orders to Staples/Office Cart
· Open to learning new software that may be attained to integrate the accounting portion with processing of work orders.

Required Experience:
Office Administration - 5 year minimum
Strong computer proficiency
HVAC /Construction background - 1 year minimum
Education Requirement:
Secondary School (Required)
Post-secondary Education is an Asset (Bookkeeping, Accounting and/or HVAC)
Language Requirement:
English (Required)
Ability to speak Italian is an asset
