POSITION DESCRIPTION
TITLE: Payroll Coordinator
DEPARTMENT: Human Resources
POSITION REPORTING TO: Payroll and Total Rewards Manager
TERM: Full-time, Permanent
General Description:
Position provides administrative support to Payroll team covering up wide range of tasks which include processing all aspects of full cycle bi-weekly payroll for Canadian and US employees. Complete year-end processes and reporting requirements, including T4, T2200s, W2, and reconcile all payroll year-end tax summaries Provincial Health Tax Returns (EHT), Workers Compensation (WSIB) Year End Returns
Responsibilities
First point of contact for employee and Manager enquiries regarding Payroll.
Responsible for running and processing full-cycle payroll, and all activities related to Canadian and US payroll. (e.g. Terminations, new hires, leaves, ROE, WSIB, EHT, T4 etc.)
Ensures compliance with internal Bora policies, procedures, and regulatory requirements.
Coordinate with HR about changes in payroll and ensure all relevant paperwork is in place for audit purposes.
Input/audit employee changes and new hires into HRIS system as required.
Administer pension and benefits changes and terminations.
Provide support in the coordination of the company’s disability (STD, LTD) and other leaves in a timely manner.
Coordinate with insurance providers and managers on gradual return to work plans where restrictions/accommodations are recommended.
Ensure that payroll data is accurately updated which includes adjustments, manual updates for claim extensions, maternity leave top-ups and any other details relating to an associates' compensation.
Process and administer other financial compensations or deductions (e.g. annual bonuses, severance pay, settlement etc.)
Prepare monthly reconciliations for all payroll accounts as part of the month-end close cycle in coordination with Finance team.
Support month end and year-end processes and reporting requirements for HR and Payroll.
Perform other duties as assigned by HR and Payroll.
Qualifications
Minimum of 1-3 years’ experience in HR and Payroll (e.g. Processing full-cycle payroll including year end and remittances for mid-large sized organization.
Working knowledge of payroll systems (e.g. Ceridian Dayforce, Trinet, Kronos)
Experience with administering pension, and leave of absences (STD/LTD)
Advanced computer skills, including MS office applications with strong skills in MS Excel including pivot tables and functions.
Strong understanding of legislative requirements with Employment Standards Act.
Solid interpersonal skills, including demonstrated ability to be a team player, acts in an appropriate and professional manner with sensitive information.
Effective organizational skills and able to manage priorities according to deadlines.
Excellent analytical and problem-solving skills, ability to manage multiple priorities, meet timelines and maintain confidentiality.
