We have an exciting opportunity in the CEO’s Office, Corporate Initiatives Section for an Administrative Coordinator.
As the Administrative Coordinator for the Executive Director, Corporate Initiatives, you will be responsible for ensuring the efficient daily operations of the section by supporting the daily and strategic activities of the Department as a whole.
You will work independently and exercise considerable initiative in the interest of effective day-to-day management of inquiries. Co-ordinate and manage activities of the Executive Director including meetings, special events, travel, etc. You will coordinate the efforts of others to accomplish objectives. Provide advice, guidance and direction regarding established corporate protocol, policies, procedures and standards.
You will also be responsible for preparing procurement documentation for the tendering of services including ensuring payments are charged appropriately; contract expiry dates and expenses are tracked and related purchase authorizations and/or amendments are processed.
In addition, you will be substituting for the Executive Assistant to the CEO in times of absence.
- A post-secondary degree/diploma in Business Administration or in a related field, combined with several years of related work experience in progressively senior administrative roles.
- Sound knowledge of business administration concepts, principles and practices;
- Highly advanced communication (oral and written) and interpersonal skills are essential, including a high degree of sensitivity for confidentiality;
- Comprehensive knowledge of modern office methods and systems, including computer and software applications such as Microsoft Access, Word, Excel, Visio, PowerPoint, SuccessFactors
- Excellent analytical and problem solving skills as well as strong planning and organizational skills to co-ordinate multiple projects and meet time sensitive deadlines.
- Familiarity with Freedom of Information and Protection of Privacy legislations.
- Demonstrated analytical and organizational skills as well as ability to work independently, handle several priorities at once, and co-ordinate the activities of others to accomplish objectives and meet deadlines;
- Must possess ability to manage competing priorities and demands in a rapidly changing environment
- Experience establishing, building and maintaining collaborative relationships for the purpose of meeting the corporate objectives;
- Must have or rapidly acquire a comprehensive knowledge of the Ontario Human Rights Code and Related Orders including disability accommodation and accessibility requirements pertaining to passengers and employees.
