Job Summary:
We are seeking a detail-oriented and organized Receptionist/Administrative Assistant to join our team. The ideal candidate will be responsible for handling various administrative tasks, providing exceptional customer support, and ensuring the smooth operation of the front desk. As you would be the first contact point in our Cosmetic Clinic, proper dress code, personal grooming and proper etiquette and general knowledge of our products and services are a must. Being passionate about aesthetic injectables would be a great asset in this roll.
Responsibilities:
- Managing clinic flow and day to day operations, appointments and procedures.
- Maintain a clean and inviting work environment for staff and clients.
- Perform administrative tasks such as patient sign in, before and after photos, data entry, light filing, and document preparation.
- Coordinate appointments and meetings, including scheduling and sending follow up reminders.
- Handle incoming calls, texts and emails, providing excellent high end customer service.
- Maintain office supplies inventory and place orders when necessary.
- Support staff with various assistance as needed such as preparing clients and rooms for procedures, informing clients on treatments etc.
- Create social media posts for the clinic including before and after photos, and videos as well as participating in the videos
Experience:
- Previous experience working in a Cosmetic clinic or similar setting is preferred
- Proficiency in janeapp for document management and communication is ideal
- Ability to adapt to changing appointment schedule if needed.
- Ability to communicate to the staff clients needs, changes to the schedule or day to day activities.
- Exceptional organizational skills with the ability to multitask effectively.
- Experience as an aesthetic clinic receptionist or in a medical office setting is a plus.
- Strong phone etiquette and communication skills.
- Ability to type accurately and efficiently.
- Willingness to learn new things
- Prior experience in customer service roles .
- Comfortable working with computerized systems.
- Familiarity with medical aesthetic injectable products, injectable services such as botox and fillers
- Strong social media skills to make posts for the clinic
Skills:
- Experience working in a cosmetic clinic is a plus
- Strong proofreading skills for accurate documentation
- Customer support expertise to assist visitors effectively
- Exceptional phone etiquette to handle incoming calls professionally
