REPORTING TO: Drop-In Manager
HOURS: Hybrid- 3 days per week, at least 1 day on site.
To support and advance the mission of the Weston King Neighbourhood Centre (WKNC). This role encompasses a diverse array of tasks that blend in-person and remote work, ranging from daily activities to bi-weekly and monthly duties. The Administrative Assistant will ensure efficient operation through meticulous management of HR functions, key inventory, and physical filing.
Summary of Job Functions:
The Administrative Assistant provides essential support to the Drop-In Manager and is responsible for reporting directly to them. This role involves a variety of tasks including participation in office projects, HR management, and general program support. The Administrative Assistant ensures smooth and efficient administrative operations, contributing to the overall effectiveness of the Drop-In Program and the fulfillment of the Weston King Neighbourhood Centre’s mission.
KEY RESPONSIBILITIES
Office Support:
· Maintain accurate records through data entry and filing of all communications and documents.
· Perform general office duties such as photocopying, scanning, and faxing.
· Prepare and manage correspondence, including donation letters and other related documents.
· Support the creation and updating of employee profiles, managing team assignments, and maintaining reporting structures.
· Assist with maintaining the inventory of office supplies and equipment.
· Provide administrative support for meetings, including scheduling, preparing agendas, and taking minutes.
· Assist in day-to-day office operations.
· Maintain front office activities and assist with workshop planning and organization.
HR Responsibilities:
· Create new employee profiles on Bright HR, including contract, SIN, personal, emergency contact, and vaccination information.
· Edit team assignments and reporting structures in consultation with the Drop-In Manager.
· Manage timesheets, work locations, adjustment requests, and clock-in/out permissions.
· Terminate employee profiles upon contract completion to maintain up-to-date records.
· Work with bookkeeper to provide bi-weekly payroll information
· Manage the distribution of equipment (computers, keys, cell phones) to employees
Financial & Physical Filing Responsibilities
· Prepare invoices and deposits for bookkeeper processing
· Perform bi-weekly filing of paperwork, categorizing documents into contracts, expense reports, timesheets, and payroll, and storing them in the designated filing cabinet.

What you Bring:
· A minimum of 1-2 years in an Office Administrative Assistant role, preferably in the HR, Human Services/Social Services field.
· Experience working with people from diverse backgrounds and have an understanding of culturally appropriate service delivery methods
· Some experience in a volunteer services role would be considered an asset.
· Energetic and self-directed, with effective time management and organizational skills including the ability to deal with multiple priorities.
· Awareness of organizations strategic goals and ability to focus on the job at hand.
· Strong conflict resolution and negotiating skills is an asset.
· Proven ability to work independently, as well as being an effective team member.
· Excellent communication skills, both verbal and written.
· Proficient in Microsoft document, excel, publisher, PowerPoint and Google systems.
· Ability to do essential troubleshooting skills.
Working Conditions:
· The role may involve interacting with individuals experiencing homelessness, mental health challenges, and or substance use issues.
· Hybrid position, 3 days per week, at least 1 day on site.
· Any additional training will be provided.
