Job Description
Reporting to the Director, HR Employee Labour Relations & Compensation, the HR Administrative Assistant facilitates the efficient operation of the Human Resources Office. Duties will include providing administrative support to the Directors, Managers, and staff of each respective area. This will include reception duties; composing and typing correspondence; answering the telephone; scheduling meetings and presentations; booking conferences and travel arrangements; attending and taking minutes of meetings; maintaining electronic files and databases; photocopying; working on projects; payroll entry; and ordering supplies.
Core Duties include:

Act as first point of contact for those entering the HR Office.

Assist with receiving and triaging client inquiries, including face to face and via email.

Assist in preparation of communications, briefing notes and Power Point presentations.

Coordinate and support quality improvement initiatives hospital wide.
-
Update and maintain a variety of HR databases and trackers, including support of reporting obligations to a variety of organizational partners..

Manage the Connections sites for the Human Resources Teams.

Maintain and process invoices, time sheets/attendance and entering payroll.

Coordinate registration for workshops and courses as required.

Assist in organizing and booking event spaces and related resources.

Monitor inventory and place orders as required.

Other duties as assigned.
Qualifications
-
Certificate or Diploma in Office Administration from a recognized college or equivalent experience required
-
Minimum of 3 years’ experience in a comparable position required

Proficient in the use of Microsoft Office 365 applications including Outlook, Word, Excel, PowerPoint, Project and Visio required

Experience working in a hospital setting preferred

Demonstrates ability to effectively prioritize and organize multiple projects with strict deadlines

Demonstrated tact, diplomacy and confidentiality

Exceptional customer service skills

Strong organizational skills, detail oriented, able to work with a high level of accuracy

Able to work independently in a fast-paced and challenging environment

Strong analytical and problem solving skills

Demonstrated ability to interact with staff at all levels of the organization

Superior written and verbal communication skills

Demonstrated commitment to ongoing learning and able to learn new tasks quickly
Additional Information
Hours: Monday to Friday - 8:00am - 4:00pm with ability to flex schedule as required by operational needs.
Salary: $26.49 - $33.11 per hour
