What you will be doing in the role of Human Resources Coordinator - Payroll and Benefits:
Your responsibilities may include, but are not limited to:
Payroll - Dayforce
- Accurately and efficiently administer semi-monthly payroll with 100% accuracy
- Compile pay related reports, statements, and summaries necessary to process semi-monthly payroll run including special runs for bonus payments.
- Save all payroll reports electronically to the appropriate file structure following each payroll run
- Appropriately interpret Lakeside’s policies and apply to payroll related inquiries or task required for correct payroll processing by employee
- Appropriately interpret Ontario and Manitoba legislation to ensure minimum standards are adhered to and/or applied to employees.
- Report monthly WSIB and HET payments for Ontario and Manitoba.
- Work in coordination with Dayforce representative for process improvements.
- Complete year end remittances for WSIB, WCB, EHT and HET by the required deadlines.
- Complete year end tax forms including T4 distribution and T2200 creation.
- Complete new year updates including annual compensation changes, vacation payout, revisions to employee taxable benefits and taxable car benefits for employees with company vehicles.
- Maintain employee optional benefits (RRSP, Critical Illness Insurance, Optional Life Insurance)
- Coordinate with Lakeside’s auditing team, as required, on payroll audit tests and verification of payroll procedures.
- Research, develop and present information to Lakeside on new legislation as it has been enacted and as it pertains to accurate payroll processing (ie. taxable benefit changes, changes to employment standards like minimum wage, etc.).
- Resolving discrepancies should they arise, in a timely manner
- Issuing ROEs and manual payments as required
- Monitoring and analyzing controllable payroll charges including service charges overages, excess vacation taken by employees and excessive overtime hours. Issues must be addressed with the appropriate member of management
- Supporting employees and managers with day-to-day questions regarding payroll and all other related functions
- Provide payroll records or details to fulfill any requests from government agencies (ie. CRA) or Lakeside’s financial auditors during an audit process
Wellness Program
- Has some ownership over the development and execution of Wellness programs for all Lakeside locations.
- Actively participate in Health and Wellness events
- Creating surveys for employee feedback
- Actively participating in the development and execution of the Wellness program using data from employee surveys to make suggestions about program design, researching and developing new Wellness trends
- Leading Wellness events on- and off-site, during business hours and during approved after-hours events
- Promoting the Wellness Program across Lakeside and encouraging employees to participate in events (in person and virtually)
- Supporting the HR Assistant (Co-op)/Administrator as needed to help prepare for or run wellness events
Benefits Administration
- Registering employees for benefits and providing them with their benefits card
- Terminating employee benefits coverage
- Answering employee questions regarding plan coverage
- Updating employee records with benefits provider (ie. home address, job title, job status, etc.)
- Having knowledge of Lakeside’s Short-Term Disability and Long-Term Disability benefits
- Reviewing bills and payments
- Supporting auditing benefits on a quarterly basis
RRSPs
- Registering employees for RRSP Answering questions specific to Lakeside’s RRSP and matching programs
- Answering questions specific to Lakeside’s RRSP and matching programs
Administrative Tasks
- Monitoring HR Inboxes
- Meeting Minutes for all HR Team Meetings
- Creating surveys
- Coordinating meetings and events
- Scanning and photocopying documents
- Filing documents into Employee Folders
- Researching various topics as required to determine best practices and new methods for improving HR programs and initiatives
- Supports Recruitment when required
- Assisting with other projects, as assigned
Knowledge and skills required for the role:
- University Degree in Human Resources OR University Degree with Post-Graduate studies in Human Resources
- Two to Five (2-5) years’ of Payroll experience
- PCP Certification or working towards certification
- Proficient in the use of MS Office (Outlook, Word, Excel, Visio, and PDF Exchange)
- Professionalism and confidentiality
- Well organized and attentive to detail
- Strong ability to multi-task and time manage
- Well-developed communication skills (written and oral)
