Accounting & Office Administrator
A boutique management company located in Vancouver is currently seeking a full-time Accounting & Office Administrator to join the team. This position reports directly to the Controller assisting on account payables / receivables and admin related areas. The ideal candidate will be hands-on, highly motivated, detailed and results-oriented, stick to deadlines.
Responsibilities:
· Manage the office on a daily basis, keep it well organized, tidy and clean.
· Maintain the filing system, arrange to shred the unnecessary files on annual basis.
· Monitor/order office supplies as needed.
· Coordinate and schedule meetings, appointments, and travel arrangements.
· Maintain a professional front desk presence, including answering phones and greeting visitors, managing incoming and outgoing mail and courier package.
· Account payables:
o Print invoices received from email or mail, seek appropriate approval, enter the approved invoices to accounting system.
o Prepare bi-weekly payments run.
o Reconcile vender statements.
o Prepare expense report / claim for senior managers when required.
· Account receivable:
o Prepare invoices and credit notes, seek appropriate approval, deliver the approved invoices /credit notes to customers.
o Follow up with customer for on-time payment.
o Collect and deposit checks on a regular but low frequent basis.
· Other assignments from management teams yet to be determined.
Skills and Qualifications:
· Minimum Canadian bookkeeping certificate or combination of bookkeeping training and related working experience
· 3+ years experience in a bookkeeping and office admin
· Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
· Experience with Quick Books, a benefit but not a requirement
· Excellent communication and interpersonal abilities
· Organized with strong attention to detail and accurate
· Fast learner who is able to prioritize and is adaptive to change
· Ability to handle confidential information with integrity.
Compensation:
· Annual salary: 45-50k based on competency
· Full benefit package after 3 months
· 2 Weeks paid vacation.
