We are seeking an experienced Office Administrator to join our team. The ideal candidate will be responsible for overseeing the daily administrative operations of our office, ensuring efficiency and compliance with company policies.
Duties:
- Manage office supplies and equipment inventory
- Coordinate office activities and operations to secure efficiency and compliance with company policies
- Supervise administrative staff and divide responsibilities to ensure performance
- Manage agendas/travel arrangements/appointments etc. for the upper management
- Manage phone systems and correspondence (e-mail, letters, packages etc.)
- Support budgeting and bookkeeping procedures
- Create and update records and databases with personnel, financial, and other data
- Track stocks of office supplies and place orders when necessary
- Assist in vendor management and contract negotiations
- Support HR functions such as recruitment, onboarding, and employee relations
- Oversee payroll processes and ensure accuracy
Experience:
- Proven experience as an Office Administrator, Office Assistant, or relevant role
- Proficiency in MS Office (MS Excel and MS Outlook, in particular)
- Excellent time management skills and ability to prioritize work
- Attention to detail and problem-solving skills
- Excellent written and verbal communication skills
- Strong organizational skills with the ability to multi-task
Nice-to-have Skills:
- Experience in team management or supervising roles
- Knowledge of training development practices
- Familiarity with phone etiquette standards
- Ability to communicate effectively with various stakeholders
- Experience in clerical duties
