Office Administrator
This is an exciting opportunity for a hard working, honest professional to be part of a growing Real Estate Family Office and help manage a portfolio of multi-family apartments across the GTA. The successful candidate will be a proactive team player who is open-minded and embraces new challenges. The new Office Administrator must be an organized individual who is equally comfortable speaking to clients and working with accounting software.
Responsibilities:
· Be proactive in pursuing outstanding balances while working closely with management. (Monthly)
· Update tenant accounts with brief notes on any communications that occur. (Daily)
· Set up new leases in the system and ensure that all documents, signatures, and payments are received and posted. (Monthly low intensity)
· Handle tenant enquiries and explain any charges and outstanding balances. (Daily)
· Receive requests for parking and ensure they get charged in the system. (Occasionally)
· Post contractors’ invoices while keeping an eye on the reasonability of charges. (Monthly)
· Maintain communication with suppliers and contractors about invoices and payment inquiries. (Daily)
· Post a small portion of rent payments or other charges which have not joined our direct debit system. (First few days of month mostly)
· Post Late Fee charges on accounts identified as NSF by the system. (Once monthly)
· Assisting the property manager in advertising and marketing of apartment rentals. (Occasionally)
· Tracking apartment and parking rental, update changes (Weekly)
· Routing phone and in-person inquiries to the appropriate staff members and taking accurate messages. (Daily)
· Ordering office supplies (Minimal)
· Filing, scanning, and organizing documents. (Weekly)
· Greeting visitors at office (Occasional)
· Performing other related duties as assigned by management. (Occasionally - Very important)

· Strong understanding and commitment to the requirements of confidentiality.
· Willing to learn about the Residential Tenancy Act of Ontario.
Qualifications:
· Must be honest and have a high degree of integrity.
· An accounting or business administration certificate or degree or equivalent experience
· Professional demeanor
· Fluency in English (oral and written) is required.
· Proficient in Microsoft Word, Excel, and Google Docs/Sheets
· Experience with Yardi or any Property Management Software is a definite plus
Job Type: Full-time
Pay: $50,000.00-$55,000.00 per year
