Job description:
- Assist the project manager and foremen in collaboration with the administrative team to complete tasks according to established deadlines.
- Analysis of production data (CIP/KPI), completion of daily, weekly and monthly reports.
- Perform data entry in Excel workbooks as well as the Maestro accounting system for project monitoring, billing, and invoicing.
- Maintain team schedules and validate timesheets.
- Issue purchase orders to the accounting system and act as a shipping receipt manager as well as a freight forwarder as needed.
- Be responsible for the subcontractor file related to the leasing of personnel, hours, invoicing, work scheduling and parts tracking.
- Classify physical documents and scan them to file them in SharePoint according to the established nomenclature.
- Participate in the management of health and safety at the site by completing documents and reports and assisting the health and safety advisor.
- Perform particle size tests and send reports daily.
- Monitor and manage aggregate inventories
What you need to succeed:
- 2 years of experience as a site clerk or site administrative assistant
- Diploma of Professional Studies in Accounting – an asset
- Fluency in communicating in English and French.
- Ability to work at a remote job site.
- Very good knowledge and skill with computer tools: Office suite, especially Excel and SharePoint.
- Demonstrate versatility, rigor and good work organization.
