Job Description:
The Administrative Assistant at Francis Management plays a pivotal role in providing essential support to the Managing Director and ensuring the efficient operation of the talent management and booking agency. This multifaceted role includes a wide range of administrative and organizational tasks. This role requires someone who can thrive in a dynamic and very fast-paced environment, demonstrating strong multitasking, time-management, organizational and verbal and written communication skills. The Administrative Assistant should be a quick learner, able to handle a variety of tasks, and maintain a positive, motivated attitude. Their contributions are crucial in facilitating the agency's operations and achieving its goals in the talent entertainment and booking industry. Knowledge of the Caribbean Music and Entertainment industry.
Key Responsibilities:
Support the Managing Director:
· Assist the Managing Director with various administrative duties, including but not limited to document preparation, scheduling, and communication.
· Coordinate and facilitate internal and external meetings.
· Write and edit press releases, media pitches, and other promotional materials.
· Coordinate and manage media appearances, interviews, and events for clients.
· Develop and implement strategic publicity plans for clients to enhance their visibility and reputation.
· Stay informed about industry trends and news to identify opportunities for client exposure via PR.
· Maintain an accurate schedule/calendar for all talent, ensuring they are aware of their commitments and obligations.
· Generate invoices for clients and ensure timely payments.
· Advance performance engagements, including arranging flights, hotel accommodations, and local ground transportation.
· Create detailed travel itineraries for talent's travel for performance and media engagements.
· Draft and edit legal contracts and performance riders for artist performance engagements.
· Create and maintain organized files and information storage.
· Research relevant information as requested.
· Answer phones and manage email correspondence with existing and potential clients.
· Act as the company liaison for artists, managers, publicists, and other booking agents.
· Disseminate pertinent information to various stakeholders, including publicists, booking agents, publishers, labels, and promoters.
· Manage and update all of Francis Management's social media platforms.
· Update website content and oversee email marketing campaigns.
· Research and build on client databases.
Qualifications:
· Knowledge of the Caribbean Music and Entertainment industry.
· Excellent written and verbal communication skills.
· Strong organizational skills with the ability to multitask and handle incoming and outgoing calls.
· Must possess a proven track record of editing legal agreements.
· Proficiency in using office software and tools.
· Savvy communication and research skills.
· Positive, motivated, and adaptable personality.
· Able to work independently with minimal supervision while meeting deadlines.
· Quick learner with the ability to follow instructions and office procedures.
· Goal-oriented and able to flourish in a fast-paced environment.
· Willingness to travel for performance engagements worldwide (a bonus).

Job Types: Part-time, Fixed term contract
Contract length: 12 months
Pay: $17.00-$18.00 per hour
Expected hours: 30 – 40 per week
