Job Description:
We are seeking an Office Manager/Bookkeeper for our construction firm. You will be responsible for the day to day office and administrative tasks.
Responsibilities:
- Organize digital filing system and back ups
- Collect pictures from Site Superintendent on a weekly basis and back up to digital filing system
- Answer phone calls and email inquiries
- Photocopying and scanning documents
- Conduct correspondence with tenants/other related tasks
- Prepare project proposals with project manager
- Assist Project Manager when needed
- Fill out application forms
- Create construction binder with all project information and provide to Site Superintendent before project begins
- Take meeting minutes during meetings
- Introduce systems to improve efficiency
- Keep track of inventory, equipment, vehicles and insurance policies
- Manage Social Media/Website with weekly posts
- Work with accountant on bookkeeping
- Understanding of Quickbooks Online
- File receipts and invoices using Hubdoc
- Prepare/Manage Purchase orders, Accounts Receivable, Accounts Payable and billing;
- Conduct weekly Bank Deposits
Requirements & Skill:
- Understanding of basic data entry in QuickBooks Online
- Ability to work with numerical data;
- Attention to detail and accuracies;
- Knowledge of business and accounting terms such as profit, ROI, assets, liabilities, etc.;
- Excellent computer and organizational skills
- Excellent knowledge of Microsoft Office, excel, email, adobe, google sheets/docs/drive
- Ability to effectively manage time, meet deadlines and work under pressure;
- Ability to work independently and as a member of team;
- Ability to communicate effectively, both orally and in writing
- Knowledge of general office procedures, such as copying, filing and shredding;
- Must have excellent follow-up and tracking skills.

Education:
- Secondary School (required)
- Relevant Diploma/Certificate (preferred)

Pay: $24.00-$27.00 per hour
Expected hours: 37.5 per week
Schedule:
- 8 hour shift
- Monday to Friday
