ROLE:
There are two parts to the role:
1. Bookkeeping for our clients (flexible from 10 - 40 hrs/week)
2. Providing expertise, training and oversight to more junior bookkeepers. (3-6 hrs/wk)
The primary part of the role is bookkeeping for our clients. How much you do will depend on your capacity. It could be as little as 10 hours per week or as much as 35-40 over time as we grow.
You will be doing general bookkeeping, including monthly reconciliations, sales tax management, payables & receivables, payroll, invoicing and bill payment.
You will maintain, monitor and reconcile GL accounts, including but not limited to cash, bank reconciliations, prepaid expenses, accounts receivable, accounts payable, accrued liabilities and inter-company and point of sale (POS)/system uploads. You will identify issues and errors, investigate discrepancies and develop resolutions. You will also communicate with the CRA regarding information requests, assessments and instalments.
You need to be very proficient in Xero, QuickBooks Online, Dext, Hubdoc, Plooto, Wagepoint and Google Suite. We only use Xero and QuickBooks Online for accounting.
We use Financial Cents to plan, manage and track our work. Other tools would be email, Google Chat, Zoom, Loom, Dropbox and Google Workspace.
New tools are coming out regularly, and we will always want to help our clients use the latest and best tools. You need to be comfortable learning new web-based software quickly.
Our most experienced bookkeepers will assist in onboarding you and familiarize you with our systems and clients.
The secondary part of the role is to providing expertise, training and oversight to the other bookkeepers. Our most junior bookkeepers have 7 years of experience at minimum and they generally need help with Xero and complex cloud accounting situations like multi-currency e-commerce (Amazon, Shopify) or inventory management. They are highly responsible and get their work done independently with minimal oversight.
There may also a project management component which requires technical skill in reporting and reports development as well as analysis, often in Excel.
YOUR FIRST YEAR
- For the first three months, you'll do bookkeeping for clients managed by one of the other bookkeepers so you can gain experience doing the work within our systems and so they can confirm your abilities to me. You'll work closely with our most experienced bookkeepers and our Team Leader, learning the role, our clients, our systems and processes.
- Once we have confirmed your fit with our clients, our work and the team, you'll start directly managing clients, reporting to our Team Leader.
JOB FIT CRITERIA
To be considered a good fit for this role, you need to meet the following criteria:
- You have 10 years minimum cloud accounting experience for Canadian businesses.
- You have at least 4 years experience managing bookkeeping or accounting projects with monthly deadlines in a bookkeeping or accounting firm.
- You are looking for at least 20 hours per week of primarily 9-5 daytime work, but you can do some of the work in the evening or on weekends. You cannot do this role if you currently have a 9-5 daytime job.
- You are an expert level user of Xero, QuickBooks Online and Dext.
- You are a certified bookkeeper with a bookkeeping or accounting certification from a recognized Canadian college or program.
- You can legally work in Canada and are physically based in Canada.
- You speak, read and write English at a native speaker or fully bilingual level.
- You have your own computer, fast internet and an appropriate, professional office or a quiet room in your home to conduct video conference meetings during the day.
- You want to work as a contractor to start, with the option to become an employee. (Negotiable)
- You need to be able to update the client's books at least every two days, and you need to be able to return emails within 2-3 hours on weekdays.
- You are certified in Xero and QuickBooks Online. Xero and QBO are the only accounting systems we use. Quickbooks Desktop experience is not sufficient.
