The Opportunity:
Our client is one of the largest and fastest-growing propane distribution companies in Canada. They are a fast-moving, customer-facing, field-based business operating coast to coast, with over 400 team members. They strive to be the undisputed propane leader in North America.
We are currently supporting them with their search for an Accounts Receivable Specialist, who will report to the Credit Supervisor. As an AR Specialist, you will play a pivotal role in managing and overseeing the company’s credit and collections processes. You will maintain a standardized credit process, monitor accounts for payment compliance, and provide valuable recommendations to improve the overall efficiency and effectiveness of the credit and collections function.
What You’ll Be Doing:
- Maintain Standardized Credit Process: Ensure the company's credit policies are consistently applied across all divisions, offering suggestions for improvements when necessary.
- Account Portfolio Management: Oversee a portfolio of Residential and Commercial accounts with varying volumes and locations. Regularly evaluate account status, monitor payment terms, and ensure seamless use of the credit process.
- Payment Negotiations: React with the appropriate level of urgency when negotiating payment arrangements within the established authority limits. Make decisions on held orders.
- Process Improvement: Recommend and implement process improvements while assessing the potential impact on internal and external customers. Collaborate with branches to address credit-related inquiries.
- Task Organization: Organize daily, weekly, and monthly work activities, prioritizing tasks based on urgency and business needs.
- Customer Service Support: Advise Customer Service Representatives on credit policies and procedures. Respond to credit-related questions by phone and email within the established Service Level Agreement (SLA).
- Complaint Resolution: Address credit-related complaints, working to identify solutions that satisfy all parties.
- Collections Liaison: Communicate with collection agencies regarding proposals, settlements, and litigation. Provide additional account details or obtain status updates as necessary.
- Portfolio Administration: Manage administrative tasks related to your assigned customer portfolio, including report generation, handling declined credit card transactions, and other relevant duties.
- Compliance & Legal Awareness: Stay informed about consumer rights laws, including bankruptcy (CCAA) and other creditor protection regulations, and ensure collections activities are in line with these rules.
- Cross-Department Collaboration: Build and maintain relationships with Operations, Adjudication, and Sales teams, keeping them informed of customer situations when required.
- Conflict Management: Effectively manage conflicts with internal and external customers, fostering positive peer-to-peer relationships.
What You’ll Need To Be Successful:
- Minimum 2-3 year’s experience in credit and collections.
- Proficiency in Microsoft Excel (advanced level).
- Ability to learn quickly and self-motivate.
- Strong communication, organizational, listening, and analytical skills.
- Familiarity with credit and collections systems and software is an asset.
- Demonstrated ability to work in a fast-paced environment with shifting priorities.
