Overview
We are seeking a highly organized and detail-oriented Administrator to join our team. The ideal candidate will possess strong customer service skills and have experience in managing office operations effectively. This role is crucial in ensuring smooth administrative processes and providing exceptional support to both staff and clients. The Administrator will be responsible for various tasks that contribute to the efficient functioning of our office environment.
Responsibilities
- Reconciling and assisting with financial tasks using QuickBooks, including invoicing and tracking payments.
- Ensuring all receipts are uploaded and reconciled accordingly
- Reaching out to the team for information required as needed
- Constantly up-keep with communication to key member(s) using a variety of platforms (WhatsApp, Email, Text, Call etc.)
- Utilize phone systems to manage incoming calls, directing them to appropriate personnel.
- Answering all calls as they come in, re-directing as necessary and obtaining detailed information for follow-up.
- Maintain organized records and files, ensuring easy access to information as needed.
- Utilize Google Suite, and Microsoft 365 for document creation, scheduling, and communication among team members.
- Support key member(s) by managing their appointments and interactions.
- Deliveries and pickups as required.
- Schedule staff and sending schedules out as required.
- Conduct interviews as required.
- Issuing payments under supervision.
- Assist in Payroll.
- Communicate with key vendors (accounting firm, suppliers, lawyers etc.) as instructed.
- Review, categorize and respond to emails (Outlook) as instructed.
- Create concise informative tables in Excel as instructed.
Experience
- Previous experience in an administrative role is preferred, in any environment.
- Proficiency in QuickBooks and Google Suite, Microsoft 365 (especially Excel and Outlook) is required.
- Strong organizational skills with the ability to multitask effectively in a fast-paced environment.
- Excellent customer service skills, demonstrating a friendly and professional demeanor at all times.
- Familiarity with front desk operations and phone systems is beneficial.
- Must be able to work in a fast paced environment.
- Must be willing to travel drive and travel as required.
- Must be able to retain information and problem solve on the fly.
- Must be able to understand discretion regarding financials.
- Must demonstrate a willingness to learn out of scope concepts for further office support as required.
