This position is for an Accounts Payable Coordinator based out of Royal Bank Plaza in downtown Toronto. Schedule is Monday to Friday 9-5 in office.
About You
We are looking for an Accounts Payable Coordinator to join our Toronto office. The successful candidate will be responsible for processing a large volume of supplier invoices. Working in a team environment, the successful candidate will contribute to the efficient operation of the Accounts Payable Department. Optimally, you enjoy working in an optimistic, energetic and dynamic work environment that emphasizes social as well as business interaction.
In This Role
- Review all invoices for appropriate documentation and approvals prior to processing.
- Ensure purchase orders and invoices are coded to the correct GL accounts.
- Follow up on all aging invoices submitted to managers and supervisors.
- Create weekly payable batch to be submitted to Client for payment processing.
- Create purchase orders for expenses $1000+.
- Ensure all purchase orders are closed in a timely manner.
- Reconcile vendor’s statement of accounts and resolve discrepancies.
- Respond to all vendors/managers/supervisor’s inquiry regarding status of invoices/payment (emails/phones).
- Follow established systems, policies and procedures to ensure timely and accurate processing of invoices for multiple entities.
- Vendor set-up and on-boarding along with vendor database maintenance.
- Ensure all new vendors are on Complyworks and detailed processes are followed for a clientvendor number set up to issue payments.
- Ensure all new vendors are set up for EFT payments.
- Update and verify all banking information when necessary.
- Update vendor's change of address and banking information.
- Ensure timely and effective support to all departments relative to Accounts Payable issues that may arise.
- Provide assistance with month end close, identifying any issues.
- Prepare one-time reclass entries as required.
- Other duties, as assigned.
What You'll Bring
- 3-5 years recent Accounts Payable experience in a fast-paced office environment.
- Strong knowledge of YARDI.
- Ability to deliver excellent customer service at all levels of the organization and with external partners.
- Develop and maintain a positive relationship with the client by managing expectations.
- Possess strong organizational, time management and project management skills with a demonstrated ability to work both independently and within a team environment.
- Ability to communicate clearly and concisely, both orally and in writing.
- Advanced skills in Microsoft Office applications.
- Exhibit a high level of professionalism and excellent interpersonal skills.
- Strong relationship-building ability, proactive, results-oriented, and resourceful.
- Ability to meet deadlines without compromising accuracy, excellent product quality and attention to detail.
