Job Summary
We are seeking a highly organized and detail-oriented Virtual Assistant to support our team in various administrative tasks. The ideal candidate will possess excellent communication skills and a strong customer service orientation. This role requires proficiency in managing phone systems, utilizing Google Calendar, and performing clerical duties, including data entry and proofreading. As a Virtual Assistant, you will play a crucial role in ensuring smooth operations and enhancing productivity.
Responsibilities
- Manage incoming calls and emails, demonstrating excellent phone etiquette.
- Provide outstanding customer service by addressing inquiries and resolving issues promptly.
- Schedule appointments and maintain the Google Calendar for the owner.
- Assist with clerical tasks such as data entry, document management, and proofreading.
- Utilize DocuSign/Adobe for electronic signatures and document processing.
- Organize files and maintain an efficient digital filing system.
- Support front desk operations by managing virtual reception duties as needed.
- Collaborate with team members to ensure project deadlines are met.
Qualifications
- Proven experience as a Virtual Assistant or in a similar administrative role.
- Proficiency in phone systems and strong phone etiquette skills.
- Exceptional organizational skills with the ability to prioritize tasks effectively.
- Strong customer service skills with a friendly demeanour.
- Familiarity with DocuSign/Adobe, Outlook/Google Calendar, and other office software is preferred.
- Excellent attention to detail for proofreading and data entry tasks.
- Ability to work independently while maintaining effective communication with the team.

This role will be done remotely, however a local candidate in Calgary, AB would be ideal, for some one on one meetings and help with work. A completely remote candidate may be selected if they fit the role the best.
