Full job description – Administrative Assistant

Position Duties

Working under the guidance of the Office Controller, in a position that will perform a variety of routine clerical, reception, and office support functions.

Key Responsibilities may involve:

· Previous experience in Accounts Receivables and Accounts Payables.

· Greet and welcome guests as soon as they arrive at the office

· Direct visitors to the appropriate person and office

· Answer, screen and forward incoming phone calls

· Ensure reception area is tidy and presentable, with all necessary stationery and material (e.g. pens, forms and brochures)

· Provide basic and accurate information in-person and via phone/email

· Receive, sort and distribute daily mail/deliveries

· Order front office supplies and keep inventory of stock

· Perform other clerical receptionist duties such as filing, photocopying, and any other related tasks associated with front desk.

· Assisting purchasing department with day to day task ( e.g. Sending Purchase Orders/ Preparing Shipping Document)

· Assisting Accounting Department with any Filing/Invoice matching and other general tasks.

. Familiar with using Sage and or ACCPAC accounting software

Requirements/Qualifications:

· Candidate must possess a strong work ethic.

· Strong Computer Skills - Should know Microsoft Office (Excel, Word, Outlook, etc.)

· Strong organizational and time management skills.

· Effective oral and written communication skills.

· Ability to work independently and well organized.
